Planning and Releasing Maintenance Work Requests

This document explains how you plan and release work requests to become work orders.

The document contains descriptions of how you:

  • Approve unapproved work requests
  • Check component and tool availability
  • Check the capacity you have to perform the work
  • Estimate the job content
  • Check load on and allocate people
  • Group work requests according to different criteria
  • Release work requests to work orders.

Use this process when you have generated work requests that require planning and, in some cases, manual authorization.

Outcome

One or more work requests are either rejected or approved. Approved requests are transformed into work orders and displayed in 'Work Order. Open' (MOS100). The operations are displayed in 'Work Schedule. Open Toolbox' (MOS195).

The work order can be used for a number of purposes. The most important uses of the work order are:

  • Add components and operations
  • Defer work orders
  • Report time and material usage for jobs
  • Update maintenance history
  • Collect statistics and costs
  • Close work orders.

Before you start

  • A work request must exist in 'Work Request. Open' (MOS170).
  • If work requests need to be approved, the approver should have the Status field set to 20 in 'Work Order Authorization. Open' (MOS175) and 'Allow release' set to off. Also, parameter 230 in 'Work Order Type. Open' (MOS120) must not be 0.

Follow These Steps

Use the following process when you generate work requests that require planning and, in some cases, manual authorization.

  1. Approving Work Request

    In some cases, work requests need to be given additional approval before further planning and releasing of the work requests can be done. This is normally the case for work requests that are entered by users. Regular planned and predictive maintenance is normally approved automatically.

    Work requests are approved in 'Work Request. Open' (MOS170).

  2. Estimating Job Content

    The job content can be estimated for individual jobs. Such requirements can include labor resources, time, tools, skills, permits, stocked materials, purchase requirements, contractors and textual instructions.

    These procedures are normally performed before availability checking is performed.

    Work requests are estimated in 'Work Request. Open Line' (MOS171), 'Work Request. Open Op Element' (MOS172) and 'Work Order. Add Spare Parts' (MOS107).

  3. Performing Maintenance Availability Checks

    Perform maintenance availability checks to make sure that all the requirements for a work request are available. These requirements include labor resources, materials and skills.

    Maintenance availability checks are performed within the following programs:

    • 'Work Request. Open' (MOS170)
    • 'Work Request. Open Toolbox' (MOS197)
    • 'Load. Display Gantt Chart/Employee' (CPS155)
    • 'Load. Display per Product' (CPS110)
    • 'Load. Display Gantt Chart Planned WOs' (CPS145)
    • 'Load. Display Total/Employee' (CPS160).
  4. Planning Work Request into Production Plan

    This is performed within M3 SWB.

  5. Updating Work Request Status

    Update the work request status to indicate where in the estimation process a job is. The planner normally performs this estimation process after an approved work request is received.

    The work request status can be updated via 'Work Request. Open Toolbox' (MOS197) and 'Work Request. Open' (MOS170).

  6. Releasing Work Request

    When the work request is fully estimated and approved, it is released to become a work order. Work requests may be released individually or in groups with a workscope.

    Work requests are released from 'Work Request. Open Toolbox' (MOS197) and 'Work Request. Open' (MOS170).
