Quick Entry of Normal Maintenance Customer Order

This document explains how to create a maintenance customer order (MCO) and a normal maintenance customer order line (MCO line) using 'Maint CO. Quick Entry' (COS130). (COS130) displays all relevant fields in one panel where the basic data needed to create a maintenance customer order and connected work order can be created, allowing reporting to begin.

From (COS130), at MCO entry, you can for example, automatically create a work order, allocate an employee, or specify service price information and meter readings.

Use this instruction when a quick entry method is required to create an order for maintenance jobs or services that a customer needs performed on an object.

Limitations

MCO line types 1-3 are not supported.

Outcome

A maintenance customer order, maintenance customer order line, work request, and work order can be created using the defined settings. The outcome is dependent on the settings used and fields populated. Possible outcomes are:

  • A maintenance customer order header is created.
  • A maintenance customer order and line are created
  • A maintenance customer order, line, and work request are created.
  • A maintenance customer order, line, and work order are created.
  • An employee is allocated to the created work request operation element or work order operation element.

Before you start

  • A maintenance agreement must be created in 'Maint Agrmnt. Open' (COS410).
  • A maintenance customer order type must be defined in 'Maintenance Customer Order Type. Open' (COS010).
  • To create an MCO line, work request or work order, a valid service definition must exist in 'Service. Open' (MOS300).
  • The (COS130/P) settings must be defined.

Follow these steps

  1. Start (COS130).

  2. Leave 'CO no' blank. This is automatically generated.

  3. Select a customer and a maintenance agreement.

    Customer and maintenance agreement are auto populated if product and lot number is populated, and the owner and agreement is specified in 'Equipment/Serialized Item. Open' (MMS240/G).

  4. Select the product to be maintained and the lot number.

  5. Select a facility.

    Default facility in (COS130) is the user’s main facility in (MNS150). If no facility is defined for the user the default facility in (COS130) will be the main facility of the division in (MNS100).

  6. Select a maintenance customer order type. If the field is left blank the order type from the maintenance agreement is used.

  7. Select a service. This creates a maintenance customer order line in 'Maintenance Customer Orders. Open Line' (COS101). Additional maintenance customer order lines can be added in (COS101). If no work order type is defined on the selected maintenance customer order type, the work order type from the selected service is assigned to the work request and work order. In this case, the work order type controls the authorization and reporting requirements of the work order.

  8. Optionally, specify the 'Customer's order number' and 'Reference'.

  9. Optionally, specify the 'Trans reason'.

  10. Set the default 'MCO line type' to '0-Normal'. Use of MCO line types 1-3 is described in a separate user guide.

  11. Select order quantity (always 1 each for MCO line type 0).

  12. Specify optional information as per the below table. Note that 'MCO address' is mandatory for work order type with service category 70 and 71.

  13. Press Enter to confirm and create the order. The confirmation triggers a number of checks against the specified data depending on the conditions and settings. Examples of checks are:

    • Warranty check
    • Credit check
    • Component availability check
    • CO message

    Where checks are performed a warning is displayed in (COS130). When the criteria for order messages are met, 'CO Entry Message. Display' (OIS166) is displayed. Press Enter to accept the warning and proceed with creating the maintenance customer order. Note that multiple warnings may be issued.

Date and time

Optionally populate fields such as requested start date, requested finish date, breakdown date. This updates the date and times of the MCO line, work request, and work order. If auto creation of service error report is applied the reported breakdown date defaults to the service error report.

Service pricing

If service pricing information is defined on the selected maintenance agreement the prices are displayed in the service pricing fields when a service is selected and confirmed. The price information can be overridden in (COS130).

  • Select a service price method.
  • If fixed pricing is applied (price method 4, 5, or 7) the fixed prices for labor, material, subcontracting and miscellaneous expenses can be defined in the corresponding field and activated by selecting the check boxes.

Error codes

Optionally populate error codes. If auto creation of service error report is applied the reported error codes will default in the service error report.

MCO Address

(mandatory for service category 70 or 71)

In (COS130) it is possible to specify an address of type 1 or 2 depending on whether it is a delivery address or a customer location. By specifying the address number in (COS130) a record is created in 'Maint CO. Connect Addresses' (COS105). This record is used to define where the work will be performed or where the equipment will be delivered to when work is complete. It is also used for tax reasons.

If no address is manually specified, the address is searched for automatically according to the search sequence on (COS010/E).

Material Address

It is, in addition to MCO Address, possible to specify a material delivery address. By specifying this address in (COS130) a record with address type 7 is created in 'Maint CO. Connect Addresses' (COS105). When the work request and work order is created it will source the material delivery address default from address type 7 in (COS105), if this record exists.

Meter

The specified meter values will update the service error report if auto creation of service error report is applied. The specified meter values in (COS130) will not update the actual equipment meter reading in 'Equipment. Report Meter Reading' (MOS160).

Override employee allocation

Select an employee number in (COS130) to manually allocate a specific employee to the work request or work order operation element.

Override warranty

Select a warranty type and select the generic warranty check box to manually apply a specific warranty to the MCO line.

Override work center

Select a work center to override the default work center from the service definition on the work request operation and the work order operation.

Override run time

Populate run time to manually override the run time defined on the operation of the selected service definition. This will update the run time on the work request operation and the work order operation.

Manually override supplier

Used for MCO line type 4 or higher.
