Close Maintenance Agreements

If a maintenance customer order (MCO) agreement is associated with a rental agreement, the expiry date of the agreement can be set to a date after the return of the rental to allow for post-rental work, inspection, and repairs.

In this case the MCO agreement will not be closed at the point of rental return and intervention is required to ensure that those agreements that have passed their expiry date are closed on a regular basis.

This is also true for standalone MCO agreements.

This document describes how to do this interactively using 'MCO Agreement. Close' (COS920) or 'Maint Agrmnt. Open' (COS410), or through the job scheduler in 'Job Schedule Function. Open' (SHS030).

Outcome

All MCO agreements that satisfy the required conditions for expiry are closed and set to status 90.

Before you start

Maintenance agreements exist and were either created manually in 'Maint Agrmnt. Open' (COS410) or through a rental agreement in 'Rental Agreement. Open Lines' (STS201).

Follow these steps

To remove expired maintenance agreements in (COS920):

  1. Open (COS920).
  2. Make selections as required from facility, agreement type, customer, and agreement.

To close expired maintenance agreements in (COS410):

  1. Open (COS410).
  2. Select the agreement to close and use related option 53='Close agreement'.

To use the job scheduler to remove the expired maintenance agreements:

  1. Open (SHS030).
  2. Make selections as required from facility, agreement type, customer, and agreement.

Whether initiated using an interactive or scheduled method, all MCO agreements that satisfy the selection criteria are processed against the set of rules and actions described below.

MCO agreement exists as rental agreement

If the MCO agreement also exists as a rental agreement, that is, the agreement number is the same on both agreements, the expiry date on the MCO agreement is checked and if this has passed, the lowest status of all the lines on the rental agreement is checked.
  1. If the lowest status is less than 90, the agreement is considered open and the MCO agreement remains open.
  2. If the lowest status is 90 a check is performed to see if there are any open MCO lines connected to the MCO agreement, that is, MCO lines with a status lower than 70.
  3. If no lines with a status lower than 70 are identified a check is performed to validate the agreements connected to the payers in 'Maint CO. Connect Payers' (COS117).
  4. If there are no open agreements connected to the payers a check is performed to see if there are any planned work orders connected to the MCO agreement:
    • If planned work orders exist, application message 753 is created with a bookmark.
    • If planned work orders do not exist, the MCO agreement status is set to 90.

MCO agreement does not exist as rental agreement

If the MCO agreement does not exist as a rental agreement and the expiry date on the MCO agreement has passed:

  1. A check is performed for open MCO lines, that is MCO lines with a status lower than 70.
  2. If no lines with a status lower than 70 are identified, a check is performed to validate the agreements connected to the payers in (COS117).
  3. If there are no open agreements connected to the payers, a check is performed to see if there are any planned work orders connected to the MCO agreement.
    • If planned work orders exist, application message 753 is created with a bookmark.
    • If planned work orders do not exist, the MCO agreement status is set to 90.
