Create Time Report and Report Time and Costs

This procedure describes how to create a time report and how to report time and costs for an employee. It also describes how to complete a time report and by doing so prepare it for approval, authorization and transfer to general ledger.

An example of reported time is time spent on a certain project and an example of reported costs is mileage allowance.

Before You Start

  • To start this procedure, the necessary basic data must be entered. See Basic Data for Time Accounting [Supporting Function].
  • If you are using a template for the time report, labor code templates must be entered. See Enter Labor Code Template [Procedure].

Follow These Steps

  1. Start ‘Time Report. Open’ (TAS100/B).

  2. Select one of the following alternatives:

    • To create a time report, go to step 3.
    • To create a time report using a template, go to step 9. A template can be useful when the the time transactions to be entered are similar.
    • To report time and costs, go to step 13.
    • To report time and costs using a template, go to step 18.
    • To review reported time and costs, go to step 24.
    • To complete a time report, go to step 28.

      Create Time Report

  3. Press F13 in (TAS100/B) to displaydisplay the P panel and select panel sequence E1. Press Enter.

  4. On the B panel, specify the employee’s ID and press Enter. Create a new time report by specifying a time report ID and selecting New. You do not need to specify an ID if you have chosen in (TAS900) to set the numbers automatically.

  5. On the E panel enter a description and name for the time report.

  6. If necessary, specify a project, activity and labor code.

  7. Review and, if necessary, change rules for how the reporting panel is displayed in the ‘Display total’, ‘Display schedule’, ‘View display’ and ‘View entry’ fields. Press Enter.

  8. If you use automatic numbering for the time report ID, specify a chronological period for the time report in ‘Time Report. Open Detailed (TAS101/B). Press Enter and return to step 2.

    Create Time Report Using Template

  9. Press F13 in (TAS100/B) to display the P panel. Specify panel sequence E2 and press Enter.

  10. On the B panel, specify the employee’s ID and press Enter. Create a new time report by entering a time report ID and select New. You do not need to specify an ID if you have chosen in (TAS900) to set the numbers automatically.

  11. Specify project, activity, labor code and the labor code template to be used.

  12. Review and, if necessary, change rules for how the reporting panel is displayed in the ‘Display total’, ‘Display schedule’, ‘View display’ and ‘View entry’ fields. Press Enter.

    Report Time and Costs

  13. Start ‘Time Report. Open’ (TAS100/B).

  14. Specify the employee’s ID and press Enter. Select option 11 = ‘Time trans’ for the current time report.

  15. Create time transactions by reporting times and costs in ‘Time Report. Open Detailed’ (TAS101/B) in the fields available on the lower part of the panel. The fields can refer to project, activity, transaction day, labor code, amount/quantity, VAT code, currency, cost center, area and text. Which fields are displayed depends on the panel sequence chosen. Press Enter.

  16. If necessary, confirm the transaction and the cost or specify another cost. Press Enter.

  17. Return to step 11 to enter more times and costs or press Enter and F3.

    Report Time and Costs using Templates

  18. Start ‘Time Report. Enter’ (TAS102/B).

  19. Specify the employee’s ID and press Enter. Select option 12 = ‘Template entry’ for the current time report.

  20. Review and, if necessary, change labor code template, project, activity and cost center.

  21. Specify transaction date and press Enter.

  22. Review and, if necessary, change the proposed time transactions. Press Enter.

  23. Return to step 16 to report more times/costs or press Enter and F3. Information about latest reported time transactions are displayed under the ‘Previous entry’ field.

    Review Reported Time and Costs

  24. Start ‘Time Report. Open’ (TAS100/B).

  25. Specify the employee’s ID and press Enter. Select option 11 = ‘Time trans’ for the current time report.

  26. Select sorting order in ‘Time Report. Open Detailed’ (TAS101/B) and press Enter.

  27. Information about the time transactions created is displayed in the list. If you want to adjust a time transaction, select Change for the transaction and adjust the values. Press Enter and F3.

    Complete Time Report

  28. Start ‘Time Report. Open’ (TAS100/B).

  29. Specify the employee’s ID and press Enter. Select option 13 = ‘Compl time rep’ for the current time report. The time report is now prepared for possible aprroval and authorization and transfer to general ledger.
