Create Credit Department Reference

This settings document explains how to register a credit manager as a credit department reference to be used in accounts receivable and accounts payable.

Outcome

A credit manager is registered, together with telephone and fax numbers and, when applicable, his or her senior credit manager.

Connect the credit department reference to a customer in 'Customer. Open' (CRS610/K). The reference is then automatically used when creating the following documents:

  • Statement of account (accounts payable) in 'AP Statement of Account. Open' (APS400).
  • Standard letter for credit memo in 'Payment Received. Record' (ARS110).
  • Payment advice in 'Payment Advice. Open' (ARS180)
  • Payment reminder in 'Payment Reminder. Open' (ARS150)
  • Interest invoice in 'Interest Invoice. Open' (ARS160)
  • Group invoice in 'Customer Invoice. Group' (ARS190)

The credit department reference is also used as a selection criterion for credit monitoring:

  • When assigning transactions to the credit manager in 'Credit Monitoring. Create Transactions' (RMS410)
  • When selecting payers to review in 'Credit Monitoring. Process' (RMS420).

The credit department reference is saved in the parameter file (CSYTAB) and can be reviewed in 'Credit Department Reference. Open' (ARS025).

  • There are no specific starting conditions.

Parameters to Set

Program ID/Panel Field The field indicates …
(ARS025/B, E) Senior credit manager

… an ID for a previously recorded credit manager.

If the credit manager is subordinate to another credit manager, the identity of the latter is also entered in the Senior credit manager field, either in panel B or panel E. This credit manager is then automatically treated as a senior credit manager.

A senior credit manager can use his/her identity to retrieve information for all subordinate credit managers when monitoring customer credit and risk instead of performing individual searches.

Note that a senior credit manager cannot be connected to another senior credit manager.

… the name, telephone number and fax number of the credit manager.

If the numbers are entered, they are printed on the documents listed in the Results section.

Follow These Steps

  1. Start 'Credit Department Reference. Open' (ARS025/B).

  2. Enter a three-position ID for the credit manager in the 'Credit department reference' field.

  3. To connect him or her to a senior credit manager already during entry, enter the ID of that person. Click New.

  4. On the E panel, enter a name (required), and telephone and fax numbers (optional).
