Create Fixed Asset Type with Standard Values for Fixed Assets

This document explains how you create templates with predefined information that is common to a certain type of asset. Further data can be entered in subprograms. These fixed asset (FA) types make registering an asset quick and easy.

The programs for defining fixed asset types are practically identical to the programs used for the entry of fixed assets (FAS001). You can predefine a large number of values, allowing you extensive flexibility. However, normally some of these values (such as voucher number and last inventory date) are entered in (FAS001) only.

For values for depreciation and value types connected to the FA type, see the respective settings instruction.

Outcome

Tailor-made fixed asset types with standard values are defined. The values can be, for example, fixed asset group, location and cost of capital method.

Connect assets to a predefined fixed asset type in 'Fixed Asset. Open' (FAS001). The values selected are then automatically proposed for the asset.

The asset type can also be used as a selection criterion in:

  • 'Fixed Assets. Print Catalog' (FAS500/E)
  • 'Fixed Assets. Print Value' (FAS510/E)
  • 'Fixed Assets. Print Period Changes' (FAS520/E)
  • 'Fixed Assets. Print Historical Values' (FAS530/E)
  • 'Five Years FA Group History. Print' (FAS565/E).

When necessary, use any of the following objects as accounting control objects when defining accounting rules in (CRS395): fixed asset group, accounting dimensions 2–7, fixed asset type and user-defined fields.

The parameter file (CSYTAB) and the (FFSVDM), (FFSVFA) and (FFSVVT) files are updated.

Before you start

Required

  • The company must decide what different categories of fixed assets and what values should be proposed by default when registering an asset.

Optional

If the following components are to be used, define them in these programs:

  • Cost of capital method in 'Cost of Capital. Open' (FAS090/B)
  • Fixed asset locations in 'FA Location. Open' (FAS070/B)
  • Fixed asset groups in 'FA Group. Open' (FAS080/B)
  • Planning area in 'Planning area. Open' (CRS085/B)
  • Service company in 'Supplier. Open' (CRS620/B1)
  • User-defined fields in 'Settings – User-defined FA fields' (FAS905/E).

Parameters to Set

All values are optional, except for the ID given the fixed asset type.

Program ID/Panel Field The field indicates …
(FAS076/F) Cost of capital method

…how the cost of capital (the internal interest) should be calculated for investments in fixed assets.

The method, based on the acquisition cost, reacquisition cost or net value for the asset, is defined in (FAS090).

(FAS076/E) Text line 1–2 …an optional text that can be printed for information purposes.
Acquisition Information
(FAS076/E) Voucher number

…the voucher number that is used for traceability in the general ledger.

Note that the voucher number is automatically entered when entering the invoice in (APS100) and using an FA account, and is therefore normally not entered here.

(FAS076/E) Exchange rate …the exchange rate for the selected currency, selected for acquiring the asset.
(FAS076/E) Acquisition date

…the date when the fixed asset was purchased.

The dates are used as a basis for calculation of depreciation and for information purposes when printing reports of assets purchased during a certain period.

(FAS076/E) Activation date …the date from which the asset is used.
(FAS076/E) Manufacturing date …the date on which the asset was manufactured.
(FAS076/E) Building permit date …the date the building permit is obtained.
Location Information
(FAS076/E) Location type 1–3

…locations which enable you to keep track of the assets. There are three types of locations (1–3):

Hierarchical example: country, city, street

Linear example: room 1, room 2, room 3.

The location types are defined in (FAS070).

(FAS076/E) Fixed asset group

…a user-defined classification. The group enables you to keep track of similar fixed assets.

The group is defined in (FAS080) and is used as a selection criterion when printing reports.

(FAS076/E) Planning area

…a level between work center and department.

The planning area is used to calculate certain totals for work centers and is entered for information purposes.

The planning area is defined in (CRS085).

(FAS076/E) Serial number …a serial number field that is currently not in use.
(FAS076/E) GUI picture …a reference to a graphic, such as an illustration or photograph of an asset.
(FAS076/E) Individual item number …the number that identifies an individual unit. The item number is printed on inventory lists to identify an asset.
Service and Leasing (entered for information purposes)
(FAS076/E) Service company

…the company responsible for the maintenance of the assets.

The company is entered as supplier in 'Supplier. Open' (CRS620).

(FAS076/E) Service agreement …the service agreement connected to the assets.
(FAS076/E) Leasing company …the company from which the assets are leased, registered as a supplier in (CRS620).
(FAS076/E) Leasing agreement …the number or identity for the agreement.
(FAS076/E) Warranty date …the date the warranty expires.
User-defined Fields
(FAS076/E) User-defined field – fixed asset

…optional information in five fields, each with a fixed number of positions.

A user-defined field heading can be connected to each of the five fields with 1, 3, 5, 10 or 15 characters. You define the names of the fields in (FAS905).

Account Entry Information
(FAS076/E) Accounting dimension 2–7

…the accounting string that is used to identify financial responsibility and to move the individual fixed asset financially. When the string is changed in (FAS001/G), the asset is automatically recoded.

The accounting string is also used when defining dynamic accounting control objects in 'Accounting Rule. Open' (CRS395).

Changes in (FAS076) do not affect previously entered assets using this FA type.

Note that accounting dimension 1 is automatically updated at acquisition cost in (FAS003).

Sales Information
(FAS076/E) Sales date …the date when the assets of this asset type were sold or discarded. The sales period is automatically updated in (FAS130).
Physical Inventory
(FAS076/E) Last physical inventory date

…the date of the last physical inventory.

Note that this field is not used or updated for the inventory. Instead, the inventory number is registered in (FAS935). The actual inventory is made in (FAS150) and the inventory result is automatically updated in (FAS001), but not in (FAS076).

(FAS076/E) Physical inventory number …a reference to the most recent inventory..
(FAS076/E) Physical inventory text …a comment that can be entered when inventory is performed. .

Follow These Steps

  1. Start 'FA Type. Open' (FAS075/B)

  2. Enter FA type ID (required) and name. Click 'New'.

  3. On the E panel, enter a name.

  4. Enter values for acquisition and location information, service and leasing, user-defined fields, account entry and sales information, and physical inventory. Press Enter.
