Create "Balance Brought Forward" Statement of Account for a Payer

This document explains how you create a "balance brought forward" statement of account listing all transactions for a customer/payer.

This detailed statement is commonly used in English-speaking countries.

Outcome

A statement of account is created. It begins by showing the opening balance from the previous period. It then lists all new transactions - invoice transactions, payment transactions etc. - for the current period, regardless of whether they are paid, partially paid, or unpaid. The statement ends with the outgoing balance.

An age distribution of invoices that will fall due within the period ranges you have defined can also be printed in period buckets with totals.

Information Included in the "Balance Brought Forward" Statement

This information is included in the statement of account, depending on the type selected:

Detailed Statement of Account to be Sent to the Payer

  • Information on the payer, retrieved from 'Customer. Open' (CRS610), and the standard text for the opening comment are retrieved from 'AR Statement of Account. Print Text' (ARS005).
  • Opening balance, accounting date, invoice, voucher number, voucher description, due date, currency amount, and closing balance. The information is listed per accounting date, customer, and currency.
  • List of the total recorded amount per payer, customer, and company. Closing comments are retrieved from (ARS005).
Note: Similar information can be retrieved from 'Accounts Receivable. Print' (ARS500), although it will be structured differently.

Detailed List Statement for Internal Use

  • Payer and customer.
  • Opening balance, accounting date, voucher description, transaction description, invoice number, voucher number, journal number, sequence number, currency, exchange rate, foreign currency amount, recorded amount, and closing balance. The information is listed per accounting date.

List of the total recorded amount for the payer per company.

Use the statement either as a list for internal purposes or as an external document to help the payers reconcile their ledgers.

No files are updated and the statement is not saved.

Before you start

  • The customers and payers must be recorded in 'Customer. Open' (CRS610).
  • A statement rule determining the period buckets to apply and whether to base the age categorization on the due date or the invoice date must have been defined in 'Statement Rule. Open' (CRS665). Period buckets, each consisting of up to three periods, must in turn be defined in 'Payment Forecast. Open' (CRS470).
  • For each customer or payer you want to include in the statement of account routine, you must have selected either alternative 2 (statement of account without aging buckets printed) or alternative 3 (statement of account with aging buckets printed) in the 'Statement code' field on (CRS610/K). For local customers or payers, this value is selected on 'Customer. Open Local Exceptions' (MFS610/H) instead.
  • For each customer or payer, you want to include in the statement of account routine, a statement rule must be selected on (CRS610/K) or (MFS610/H).
  • There must be open accounts receivable records for the customers or payers.

Follow these steps

  1. Start 'AR Statement of Account. Print Detailed' (ARS510/E).

  2. Specify any of these optional ranges: Payer, customer, and accounting date.

  3. Specify the opening balance date; that is, the first date from which the opening balance is calculated (optional).

  4. Select a report layout (required):

    • 1 = Statement list for internal purposes
    • 2 = Statement of account to be sent to the payer/customer.
  5. Optionally, specify a report text. Press Enter.
