Cash Register for Customer Payment Receipts

This document explains how cash register can be used to group Payment Receipt documents when displayed in the function 'Payment Receipts. Display' (ARS400).

If cash register is used, the cash register status of each payment receipt document will be updated when remitting checks and drafts to the bank or in case they are reported as rejected.

Limitations

The cash register status of the payment receipt documents is not updated if a voucher for manual payments entered in 'Payment Document. Enter' (ARS105) or in 'Payment Received. Record' (ARS110) is reversed in 'Voucher. Reverse' (GLS900). If requested, the cash register status can be changed manually in (ARS401) as described below.

Outcome

  • Payment receipts created are connected to a cash register that can be used for selection in the function 'Payment Receipts. Display' (ARS400).
  • The cash register status is updated when the check/draft has been remitted and in case it is rejected.

Before you start

  • The starting conditions listed in Managing Customer Payment Receipts must be met.
  • Cash register must be selected in 'Settings – General Ledger' (CRS750).
  • Cash register IDs must be defined in 'Cash Register ID. Open' (ARS092).
  • FAM functions for AR05 (ARS105) and AR30 (ARS110) that are connected to payment methods having a payment type for payment receipt must be connected to a cash register ID, if applicable, in 'FAM Function. Open' (CRS406/H) for AR05 and (CRS406/G) for AR30.

Follow these steps

  1. Specify the payments received as described in Managing Customer Payment Receipts. If cash register is used, each payment receipt document is updated with the cash register ID defined on the FAM function used.
  2. To display all payment receipt documents for a specific or range of cash register IDs, you select action F21='Display cash register' in (ARS400) to display (ARS401) with sorting order 2.
    Additional to the selection of cash register ID, you can also select the cash register status that is set depending on the payment class and remittance type:
    • 1-'Check - later allocation' and 2-'Check – direct allocation' without remittance will receive cash register status 00='Remittance not applicable'.
    • 1-'Check - later allocation' and 2-'Check – direct allocation' with remittance will receive cash register status 10='Not remitted'.
    • 4-'Draft' are always remitted and will therefore receive cash register status 10='Not remitted'.
    • 0-'Cash' and 3-'Bank transfer – man/electr' cannot be included in the function 'Bank Remittance. Open' (ARS300) and will therefore receive cash register status 00='Remittance not applicable'.
  3. When you confirm the remittance of checks and drafts to the bank using 'Bank Remittance. Open' (ARS300), the cash register status is automatically changed to 20-'Remitted'.
  4. If a check is rejected after it has been remitted, you can report the check as unpaid or rejected in the function 'Draft/Check. Open Unpaid or Rejected' (ARS340). Depending on the method used, the cash register status will be set back to 10-'Not remitted' (method -1-'Reversed') or 60-'Document rejected' (method 2-'Re-opened' or 3-'New invoice').
  5. If a draft is rejected after it has been remitted but before bank confirmation, you can delete the draft in the function 'Bank Remittance. Reconcile Payments'(ARS350) or in the function 'Bank Remit. Reconcile Payt per Due Date' (ARS355). The cash register status will be set back to 10-'Not remitted'. The function used for the bank confirmation, depends on the setting 'Bank confirmation type' in (CRS078) for the payment type used.

    You can also report the draft as unpaid or rejected in (ARS340) as described in step 4 above.

  6. If the draft is rejected after the bank confirmation, you can report the draft as unpaid or rejected in (ARS340) as described in step 4 above.
  7. In case the cash register status must be changed, you can manually change the status by selecting the payment receipt document with option 2-'Change' in (ARS401).
