Check Receipt Orders from Batch File against Accounts Receivable

This instruction explains how you check that receipt orders, electronically transferred from bank in a batch file, contain correct information before they are allocated to invoice in accounts receivable.

Outcome

The receipt orders are checked against accounts receivable. A checklist is printed, indicating any incorrect receipt orders.

Adjust any incorrect receipt orders before updating accounts receivable. You do this in the same program, 'Batch Payment. Update' (ARS040).

Before you start

The starting conditions listed in Recording Customer Payments via Electronically Transferred Receipt Orders must be met.

Follow These Steps

  1. Start 'Batch Payment. Update' (ARS040/B).

  2. Identify the batch file to process.

    The batch files are displayed with the following information: Batch payment type; the bank account number to which the payments are made; whether the payment is domestic or foreign according to the international EDI standard EDIFACT (United Nations rules for Electronic Data Interchange For Administration of Commerce and Transport); voucher number; accounting date; status.

    The following statuses are used:

    0 = Order can be processed

    1 = Order is being checked

    2 = Order is being changed by another user

    4 = Order is being canceled

    6 = Order is being printed

    8 = Accounts receivable is being updated

    9 = Accounts receivable has been updated.

    Note: The list in (ARS040/B) is displayed in descending order, showing the batch files with the highest batch IDs first. To see all batch files after some kind of processing, enter 9999999999 in the entry field. Otherwise, only batch files with a batch ID equal to or less than the file you just processed will be displayed. If you blank out the field, it will be interpreted as having the value zero and no files will be displayed.

  3. Select one of the following alternatives:

    • Check the batch file and compare the included transactions against accounts receivable by selecting option 1 = 'Create correction proposal' for the batch file
    • Print a list of receipt orders without performing a check against accounts receivable by selecting option Print for the batch file, as long as the file status is 0.
  4. On the E panel, enter a report header (optional). Press Enter.
