Configuring basic information for miscellaneous costs

You must configure basic information for miscellaneous cost records to be used with quotations.

  1. Open 'Quotation. Add Miscellaneous Costs' (QUS118).
  2. Specify the miscellaneous cost code and, optionally, a product number, then click Create.
    Miscellaneous costs without a product number can be used generically.
  3. Specify a description and, optionally, a name.
    If you do not specify a name, then, when you save the record, the description is copied to the name.
  4. Specify the status of the record:
    Option Description
    20 When creating the quotation, the sales executives can use this record.
    10 The record is still being prepared.
    90 The record has expired or is no longer required.
    The Responsible field indicates who is responsible for maintaining this record. This field is only for information purposes.
  5. Specify a charge code defined in 'Order Line Charge. Open' (CRS275) or an item code defined in 'Item. Open' (MMS001).

    This information determines the source of the cost price and the sales price.

    If the miscellaneous cost is linked to the quotation, then the item name is displayed.
  6. Set the Leasing method to '0-Additional charge' if you want the record to be treated as an additional charge.

    If you want a record to be treated as a cash flow component, set the Leasing method to '1-IRR'.

    You can only add cash flow components to quotation lines that have a financing record type '4-IRR' connected.

    Cash flow component prices are handled through 'Cash Flow Price List. Open' (STS137), which you can access through the related option 17 in 'Rental Price List. Open' (STS017). The price that is retrieved from the price list to the cash flow component record on the EQM quote depends on the item, financing record, or maintenance agreement used for the quotation.

    Each cash flow component has its own curve. The curve for each cash flow component is displayed in 'Cash Flow Curve. Open' (STS138). To access (STS138), click the Open button in 'Quotation. Open Miscellaneous Costs' (QUS108). If a cash flow component value is updated through either (QUS108) or (STS138), Rent amount in 'Quotation. Open Financing' (QUS106) and 'Leasing Curve. Open' (STS108) are updated. The leasing curve in (STS108) is also updated.

  7. Activate One-time use for an additional charge to include it in period 1 of the leasing curve.
    If you activate One-time use for a cash flow component, it is only included in period 0 of the leasing curve.
  8. If you want a record to be automatically added to the quotation upon creation, select the Default record check box.
    To differentiate between new and used equipment, you can choose to use a default record based on the category of the equipment. To do this, select '2-New' or '3-Used' in the Default record field.
  9. To save the record, click Next.
