Quotation approval

You can carry out the approval of a quotation from these locations: 'Generic Object Control Table. Open' (CMS017)

  • In the EQM mashup, select My Quotations, then the Approval tab.
  • In the EQM Manager mashup, select Approval.
  • From a list of quotations, select a quotation, then select Related > Change status or press Ctrl+25.

You can approve a quotation at these levels:

  • Quotation header level
  • Quotation line level of a product, an item, or a trade-in
  • Quotation details level connected to a product, such as warranty and promotion

A quotation line is always associated with a responsible person. The default responsible person is the user ID connected to the salesperson in 'Settings - Quotation Permissions' (QUS155). Quotation details can also be associated with the default responsible person from the template records.

To set the status of a quotation line and its details to Ready (20) or Approved (30), in the EQM mashup, select My Quotations then, on the Approval tab, click the Approve button.

To approve a quotation header, in the EQM Manager mashup, select Approval and click the Approve button. Alternatively, from a list of quotations, select a quotation, then select Related > Change status or press Ctrl+25.

Depending on the settings in 'Quotation Type. Open' (QUS020), you can carry out a quotation approval in these ways:

  1. If a quotation approval is not set for (QUS020), then, select Related > Change status or press Ctrl+25, and directly set the quotation header to Approved. All connected quotation lines and details are approved.

    Optionally, the responsible person can approve the quotation line. To do so, in the EQM mashup, select My Quotations, then, on the Approval tab, click the Ready button. All connected quotation details are approved.

    The responsible person can also approve quotation details. To do so, in the EQM mashup, select My Quotations, then, on the Approval tab, click the Ready button.

  2. If a quotation approval is set for (QUS020) but the product is not, then the sales manager must approve the quotation header. To do so, in Equipment Quotation Manager Space, click Approve on the Approval tab. All connected quotation lines and details are approved.

    Optionally, the responsible person can approve the quotation line. To do so, in Equipment Quotation Space, select My Quotations, then, on the Approval tab, click the Ready button. All connected quotation details are approved.

    The responsible person can also approve quotation details. To do so, in Equipment Quotation Space, select My Quotations, then, on the Approval tab, click the Ready button.

  3. If a quotation approval and a product are set for (QUS020) but no quotation details are set, for example, warranty or promotion, then the sales manager must approve the quotation header. To do so, in Equipment Quotation Manager Space, click Approve on the Approval tab. The quotation is not visible for the sales manager until all quotation lines that require approval are approved.

    The responsible person must approve the quotation line in two steps:

    1. In Equipment Quotation Space, select My Quotations, then, on the Approval tab, click the Ready button.
    2. In Equipment Quotation Manager Space, click Approve on the Approval tab.

      All connected quotation details are approved.

    Optionally, the responsible person can also approve the quotation details. To do so, in Equipment Quotation Space, select My Quotations, then, on the Approval tab, click the Ready button.

  4. If the Quotation approval and Product fields and at least one of the quotation details, such as warranty and promotion, are set for (QUS020), then the quotation header must be approved by the sales manager. To do so, in Equipment Quotation Manager Space, click Approve on the Approval tab. The quotation is not displayed to the sales manager until all quotation lines that require approval are approved.

    The person who is responsible for the line must approve the quotation line in two steps:

    1. In Equipment Quotation Space, select My Quotations, then, on the Approval tab, click the Ready button.
    2. In Equipment Quotation Manager Space, click Approve on the Approval tab.

      Only the quotation details that are connected to the quotation line with the same responsible person or that do not require additional approval are approved.

Note: In the approval flow, the Ready step is optional. To set the quotation status to 20-Awaiting approval, select the quotation, then select Related > Change status or press Ctrl+25.

During the quotation approval process, you can reject a quotation header, line, or detail. A quotation with the status 15-Rejected indicates to the responsible person that more work is required. The sales manager or the responsible person can add text to the quotation header or line indicating why it was rejected.
