Connect Ad Hoc Reports to Users and Roles

This document describes how to connect users and roles to ad hoc reports.

Background

Ad hoc reports can be connected to specific users and users connected with roles. The reason for the two ways to connect users is that if there are many users, it is easier and faster to connect the report to a role, which has multiple users connected to it.

The program 'Ad Hoc Report by User or Role. Connect' (AHS120) is used to connect ad hoc reports to users and roles. However, a report record cannot connect to both a user and a role. If a report must be connected to both a user and a role, two records are created in (AHS120) – one with user and one with role.

In the program 'Ad Hoc Report by User. Open' (AHS200), each user can see which reports they are connected to. The field 'Generated by role' in (AHS200) identifies which records in (AHS200) have been generated by roles and which have not.

Follow these steps to connect an ad hoc report to a user

  1. Start 'Ad Hoc Report by User or Role. Connect' (AHS120) and the B panel is displayed.
  2. Specify an ad hoc report group, an ad hoc report, and a user. Select option 1='Create'. The E panel is displayed.
  3. Select the check box 'Change selection' if the user should be allowed to change filter and selection values when running the report in 'Ad Hoc Report. Print' (AHS150). Click 'Next'. The B panel is displayed, and the ad hoc report has been connected to a user.

Follow these steps to connect an ad hoc report to a role

If the user is already connected to a role, go straight to step 4.

  1. Start 'Roles per User. Connect' (MNS410) and the B panel is displayed.
  2. Specify a user and a role, and select option 1='Create'. The E panel is displayed.
  3. Select valid from/to dates if needed. Click 'Next'. The B panel is displayed, and the user has been connected to a role.
  4. Start 'Ad Hoc Report by User or Role. Connect' (AHS120) and the B panel is displayed.
  5. Specify an ad hoc report group, an ad hoc report, and a role. Select option 1='Create'. The E panel is displayed.
  6. Select the check box 'Change selection' if the user should be allowed to change filter and selection values when running the report in 'Ad Hoc Report. Print' (AHS150). Click 'Next'. The B panel is displayed, and the ad hoc report has been connected to a role.
