How to handle rejected transactions

A raw material purchase transaction is typically the start of a trace. If raw material inventory is created by a stock count or a requisition order, then the transaction is not accepted by M3 Graphical Lot Tracker, because it is untraceable. Similarly, a finished good sales transaction keeps the ‘Active in queue’ status until at least one raw material is reported on the preceding manufacturing orders. When a raw material is reported, it is set as the starting point of the trace and the trace is accepted.

You can manage an unaccepted transaction whose status is set to ‘Rejected’ or ‘Active in Queue’ in four ways:

  • Correct the transaction in M3 Business Engine.

    If a product stock location is corrected or when the raw material of a manufacturing good transaction is reported in M3 Business Engine, the transaction is automatically accepted during the next M3 Graphical Lot Tracker update. The transaction is removed from the data queue and traceable in M3 Graphical Lot Tracker. See Scenario 1 – raw material not reported and Scenario 2 – missing distribution order and stock count.

  • Manually set the transaction starting point to ‘Unknown’.

    You can set the starting point of a raw material inventory transaction that is created by a stock count or a requisition order to ‘Unknown’. To do this, use the Add trace as incomplete link. The transaction is then accepted and removed from the data queue. The trace is traceable in M3 Graphical Lot Tracker, but considered incomplete because the data of the starting-point transaction is missing. This solution is preferred over the Inspected link because an incomplete trace can be traced to the best available information. In the Trace Step diagram, the unknown starting point is displayed as a question mark icon.

  • Manually set the transaction status to ‘Inspected’.

    If a lot number is transferred to a warehouse by a requisition order, shipped to another warehouse, and shipped back to the original warehouse, then a circular trace is automatically created. If the starting point is missing and cannot be set to ‘Unknown’, then this message is displayed: Circular trace, can’t be added. The Add trace as incomplete link is then not available. The only way to handle these transactions in the list of rejected transactions is to mark them as inspected. The trace is not traceable in M3 Graphical Lot Tracker.

  • Leave the transaction as is.

    The transaction remains in the data queue with the ‘Active in queue’ status for a specified number of days, depending on system configuration settings. The transaction status is then automatically set to ‘Rejected’ and the trace is not traceable in M3 Graphical Lot Tracker.
