RFQ offer messaging

There are two types of e-mails associated with the RFQ feature:

  • Each time an RFQ handler at the merchant makes an offer for a buyer who has submitted an RFQ, the buyer receives an e-mail informing the user to check the offer.You can control the content of this message, and enter any required translations, using the Application Setup >Texts area of the Business Center to modify the text for the RFQDetails.jsp page. See Request for quotation for more details.

  • If the customer submits a returned offer as an order, he or she will receive an e-mail confirmation, just as when submitting a standard order. The message returned when submitting an RFQ offer is, however, configured separately from the standard order-confirm message - by modifying the text for the RFQList.jsp page. As with standard order-confirmation messages, this e-mail will only be sent to users who have a user role that includes the "Send Mail on Order" feature element. Configure the user roles as necessary according to how you wish to use this feature. See Roles, segments, and feature elements for details.

To customize the message for RFQ:

  1. Log on to the Business Center as a merchant administrator.
  2. Click the Application Setup > Texts link in the navigator.
  3. In the Filter area, do the following:
    1. Enter "mail" in the Text Name field.
    2. Enter "RFQDetails.jsp" in the Page Name field.
    3. Click Search.

      A list of all of the page texts defined for creating the e-mail confirmation on the RFQDetails.jsp page is displayed. These are detailed in the table below:

      Text name Purpose
      email Specifies the word for "e-mail" in each language. This text appears on the HTML page and is not part of the RFQ-offer-mail configuration.
      mailclosing Specifies the closing of the message body in each language (for example, "Sincerely, Infor e-Commerce" in English).
      mailcomment This is the label (for example, "Quote comment:") placed directly before the comment text (if any) added by the merchant user as he or she created an offer based on the original RFQ. This line appears in the body of the message.
      mailhandledby This is the label (for example, "Sender:") placed directly before the details of the merchant user that made the offer (including name, phone number and e-mail address). This line appears in the body of the message sent to the buyer.
      mailopening Specifies the opening word of the message sent to the buyer in each language (for example, "Dear" in English, as in "Dear Customer"). The customer’s name will be taken from the RFQ.
      mailquote This is the label (for example, "The following RFQ has received a quote:") placed directly before the order number for the original RFQ. A link to the returned offer is also given. This line appears in the body of the message.
      mailsubject This is the subject that will be shown for the message.
  4. Click the name in the Text Name column to edit the value of that item.
  5. Save your changes when you are done.
  6. Continue working with these text items until you have finished configuring and/or translating each of them.
