Scheduled Server Tasks

To improve efficiency and reduce wait times for routine operations, you can configure Scheduled Server Tasks to run import and export processes outside office hours. These tasks run in the back-end and help reduce the time users spend waiting for common tasks to complete. You can schedule this to run daily, weekly, monthly, yearly, or as a one-time task, depending on your operational needs.

Administrators must have the Manage Schedule Server Task user management right enabled to perform scheduling tasks.

Note: This feature is only available for Multi-tenant Cloud deployments.
  1. From the menu, select Data Administration > Scheduled Server Tasks.
  2. Click New to create a new Schedule Task.
    The Schedule Task Property dialog box is displayed.
  3. On Configuration, specify this information:
    Name
    Specify the name of the configuration.
    Description
    Optionally, specify a description for the configuration.
    Type
    Select Server Workflow.
    Server Workflow
    Select an option for the server workflow from the list.
  4. On Schedule Task, select a schedule option from Monthly, Weekly, Daily, One Time, or Yearly. Based on your selection, define the recurrence parameters. The recur section is updated to show only the fields needed for the selected schedule type.
    Monthly
    Select this option to run tasks once a month based on the selected recur values.
    In the first drop-down, select which week of the month the task should run. You can select First, Second, Third, Fourth, or Last.
    In the second drop-down, select the day of the week the task should run. You can select a day from Sunday to Saturday.
    Weekly
    Select this option to run tasks weekly depending on the specified value in weeks and selected days.
    Use the weeks field to specify how often to repeat the weekly cycle. Specify 1 to run the task every week, 2 to run it every two weeks, and so on. You can also select the day of the week when the task should run.
    Daily
    Select this option to run tasks daily, or depending on the specified value on the recur days field.
    Use the days field to specify how often the task should run. Specify 1 to run the task every day, 2 to run it every two days, and so on.
    One Time
    Select this option to run the scheduled task only on the specified Start Time.
    Yearly
    Select this option to run the scheduled task once a year depending on the specified values in the Months and Days field.
    In the Months field, you can specify values from 1 to 12, each representing a month of the year. You can specify multiple values, separated by commas.
    In the Days field, you can specify values on which day of the selected months the task should run.
  5. On Enabled, select the check box to set a start and end date for the task, then specify this information:
    Start
    Specify the start date and time when the task becomes effective.
    Note: By default, the selected date and time is set to 10 minutes after you click the New button. To ensure the schedule is picked up, select a date and time that is close to or later than the default.
    Expire
    Optionally, select the check box to set an end date when the task should stop running.
  6. Click OK.
