Open Version

The Open Version feature enables the administrator to control the Forecast Cycle activities that take place while the version is open.

  1. Select Version Control, select a version and click Actions.
    The Actions drop-down list is displayed.
  2. Select Open Version to change a database status from Closed to Open.
    The Open Server Version dialog box is displayed.
  3. On Open Server Version, specify this information:
    Activity Comment
    Backup Version This option allows to copy the version as a snapshot of what it looked like before the forecast or budget cycle. Normally, this is not used if you have versions that are very large, but it could be used for comparing the copy and the current version after the cycle is complete or at a later date.
    Remove Old Packages   You can only select this option if there are forecasters using forecast packages, either online or offline.
    Remove Historical Data   You must select this option. If selected, the confirmed scenario parts and for sales activities with unresolved actions are removed. If it is not accepted by the administrator, the status is reverted to the original status and the suggested actions (move, scale, edit, or delete) are deleted.
    Compact Database This option allows to shrink the database to clear the transaction log.
    Note: This is only possible if no users are connected to the database.
    Create new Forecast Cycle Name You must select this option. If selected, the database is registered as open for forecasting and Central forecasters can now access the database.
    Generate Packages You can only select this option if there are forecasters using forecast packages, either online or offline
  4. Click OK to create the packages for online and offline users.
    Note: If there are Scenario Parts or Sales Activities defined for the version, a warning message is displayed informing about the deletion of the Scenario Parts or Sales Activities.
    Note:  Only administrators can perform this task.
