Format

You can determine how data is displayed using Formats.
  1. Select Menu > Setup > Format.
    The Formats dialog box is displayed.
  2. Select the appropriate data from Formats defined for drop-down list.
    The Formats dialog box has three tabs: Data Types, Keys, and Period Types.
    • Data Types allows you to:
      • Edit the names of data types by selecting either name or short name text field from the list and overwriting it. Name is used to display of repetitive forecasts, and short name is used to display of sales budgets.
      • Link data types together by selecting a datatype in the link column. A drop-down menu appears presenting all data types available. Select your link topic from this menu. The hatched fields identify read only types and cannot be linked. Note that when columns are linked, changes made in one column entails proportional changes in the other column.
      • Create a short name for a datatype, which allows you to avoid wide column headings when displaying data.
    • Keys allows you to:
      • Select the M3 BE key you want to modify. The Setup Key Information dialog box is displayed.
      • For Key Information the name and the field name of the M3 BE key you have selected is displayed.
        • For M3 DMP Name, specify a M3 DMP name for the M3 BE key.
        • Select which name to use in M3 DMP by checking one of the Use Name check boxes: M3 BE Name, M3 BE Field Name, or M3 DMP Name.
        • Select Subkey Information to define character based subkeys for the selected key. In the Column Name field, specify the name of the subkey.
        • In the From Position field, specify the start position of the characters that could be used to define the subkey.
        • In the Length field, specify the number of characters you want to include in the subkey.
        • Select Add once you have defined a subkey. Repeat this step for each subkey you want to create for the key identified in the Key Information heading in this dialog box.
    • Period Types allows you to:
      • Implement 9 different time period types that are indigenous to M3 BE. The period type is read-only and serves to identify of the Period Types.
      • In the Type Name column, you can edit the name of an existing period type or enter the name of a period new type.
      • To define a period type, you can either use a predefined template, or you can specify the number of periods per year freely:

        To use a template select a template from the drop-down box in the Template No. column. The template defines the number of periods per year displayed in the No. Periods column. The term "varying" indicates that the number of periods can vary from year to year. For example, the number of weeks in a year can vary from 52 one to 53 the next.

        To define the period type, specify the number of periods per year in the No. Periods column. For example, if you specify 4 in this field, the year will be separated into 4 periods.

        Note: You cannot specify the value zero.
      • Display Name column allows you to define the name or prefix used for the period type.

        Note: Period Type 1 and 9 are locked to use template Months and Weeks respectively. Also, the Display Name for period type 1 (Months) is not in use. The names for months are found in the language tool for M3 DMP.
  3. Click Update to update values in the database.
  4. Click Close.
    Note: Format definitions apply to all Datasets in the active version. Formats are not shared between different versions. The formats defined for pull down menu allow you to filter the elements you want to display. If you choose System, all elements in the system will be displayed with the formats defined for the active version.  If you choose Dataset, only the elements used in this specific Dataset will be displayed. A subkey uses the specified character range in the key values to identify subkey values. If a subkey is defined from position 5 with a length of 3, all key values with the same characters in position 5 through 7 will be grouped under the same subkey value.
