Purchase Manager Workspace

The purchase manager specializes in supplier relationship management. This role uses effective negotiation to source high quality products and services at a price which is reasonable to both the organization and the suppliers. A purchase manager also sets the standards for team ethics, transparency and drives the sustainability goals of the organization. The goal is to contribute success by efficiently managing the supply chain and supporting its growth and profitability.

Widget	Description
My Day	Displays the current date, greeting message, and the icon of the user and first name.
Top Suppliers	Presents the top suppliers with the most number of purchase orders specific to a preconfigured period, for example past 180 days from the current date. Other actions that you can perform: Hover over a bar line to show the supplier’s ID and purchase order count in a tooltip. Click a bar line to drill down information. On the records page, right-click a record and select Open to perform a drillback to M3. See M3 Information Viewer.
PO Monitor	Presents the total count of purchase orders and the respective top 5 buyers specific to a preconfigured period, for example, past 180 days to current date. Other actions that you can perform: Hover over a chart section to show the buyer's ID and purchase order count in a tooltip. Click a section from the chart to drill down information. On the records page, right-click a record and select Open to perform a drillback to M3. See M3 Information Viewer.
On Your Radar	Focuses on managing priority tasks. This widget contains matrices that open card tasks in the Required Actions widget: Delayed order lines: Shows all purchase order lines for which the preconfigured dates are past the target delivery date, for example, past 7 days to the current date. When you review delayed order lines, you can change and save the planning date for a specific purchase order number. Under the New planning date, specify a new date and click the Confirm Planning date icon. To update the list of records, you must close the task and select Refresh from the widget menu. The updated order line is removed after you supply a target date in the future. PO approvals: Shows purchase orders set with status '12=Order stopped' and with dates set to the previous 7 days from the current date or 7 days later. When you review PO approvals, you can approve a specific purchase order by clicking Approve PO. To update the list of records, you must close the task and select Refresh from the widget menu. The approved order line changes its status to '15=Ready for printout' and is removed from the list of records. For some records, you must specify a signature under the Signature column before you can proceed with the approval process. The signature usually consists of a two-letter code assigned to an additional approver. New suppliers: Shows new suppliers tagged with the status '10-Preliminary'. You can approve new suppliers by clicking Approve Supplier, which triggers the specific supplier to change status to '20-Approved'. To update the list of records, you must close the task and select Refresh from the widget menu. The approved supplier is removed from the preliminary list. Additionally, you can add an address for a specific supplier by clicking Add Address and providing the required information to complete the address. You can access the updated address in M3 through (CRS622). Stopped suppliers: Shows all suppliers tagged with status '30-Stopped'. You can activate stopped suppliers by clicking Approve Supplier, which triggers the specific supplier to change status to '20-Approved'. To update the list of records, you must close the task and select Refresh from the widget menu. The approved supplier is removed from the preliminary list. Additionally, you can add an address for a specific supplier by clicking Add Address and providing the required information to complete the address. You can access the updated address in M3 through (CRS622). For every card task, click Review to view a breakdown of records and identify tasks to address. Optionally, you can hide a card task by clicking the bell icon. When you review the available records, you may access these additional functionality through clicking Review or View All: Select all or any records to export. Click Export to CSV. Drill back into an M3 program by clicking a record with a working link. Search for a particular record. On the Required Actions widget, clicking View All shows a single view of all records in tabular format. Whereas, clicking View snooze list enables you to show the list of hidden card tasks. From the list, you can return a hidden card task on the main widget display by clicking Unsnooze.
Quick Actions	Shows all tasks that you perform frequently. This widget shows these default tasks: Create Planned Purchase Order: Retrieves information, such as, item number, item name, supplier number, warehouse, order type, date, quantity, price, and UOM and enables you to create planned purchase orders. After creating the PO, a message is displayed with the purchase order ID which you can click to perform a drillback to 'Purchase Requisition. Open' (PPS180). Release Planned Purchase Order: Shows a list of planned purchase orders where you can filter any specific buyer. Upon clicking the release option, a planned PO is released and the actual purchase order is created. Update Supplier Information: Shows a list of suppliers where you can update supplier details. After updating and saving the record, a message is displayed with the supplier ID, which you can click to perform a drillback to 'Customer. Open' (CRS610). Receive Purchase Order: Creates a goods receipt for a specific purchase order. See Receive Purchase Order. Supplier List Information: Shows a list of supplier contact information that you can use to connect to an active supplier. See Supplier List. Supplier Creation: Provides a form for adding a new supplier data into M3. See Supplier Creation.

Tables used in the workspace

You must activate the MPOPLP and MITMAS tables within M3 Function Search to retrieve data.

Note: Both tables are used only for release planned purchase order on the Quick Actions widget.

Programs and sorting orders used in the workspace

The drillback functionality in some of the workspace widgets require specific configuration for filtering the correct data in Infor M3. When you perform a drillback to any program, check for the Function Search query. If the Function Search is disabled, you must create a record by specifying a combination of program, sorting order, and table for the search on 'Standard Search. Open' (CMS021/B).
