Review Center overview
An invoice is sent to the Review Center if it cannot be processed automatically due to missing information, validation errors, or when manual review is required. You can view the invoice document, see the extracted data, and easily correct or approve the information in the Review Center before resubmitting it for processing in M3.
Navigation
- Missing Information: For invoices critical data such as supplier number, invoice date, or item codes are not extracted.
- Validation Errors: For invoices where extracted data conflicts with M3 data or business rules such as a U/M mismatch or a price variance.
- Needs Review: Includes invoices that passed all technical validations but require human review for various reasons before posting. To always send invoices to this category, you can configure the enableReviewCenter field in the RPA arguments.

For certain suppliers, you can also configure the system to always review or send their invoices to this category through the ION Business Rule
M3InvoiceProcessing_InvMatch_SendtoRC.Note: You can manually move invoices to this tab for review before sending them to M3. - Technical Errors: For documents that IDP cannot process due to reasons such as:
- The file format is not supported by IDP.
- The file size exceeds the maximum limit for processing.
- The document is not identified as an invoice.
Unprocessed documents are typically not corrected or reprocessed from the Review Center. Instead, they require a technical review and corrective actions outside the Review Center.
Note: You can manually move invoices between tabs. For example, after adding missing information, you can move an invoice to Needs Review. You can also update a document in Technical Errors and move it to Missing Information, where it can be reprocessed.
Search and filter
You can use these tools:
- Keyword search: In the left panel, use the search bar to find a specific invoice by its number, supplier name, or PO number. You can search all available data in the list.
- Filter: Click this button to narrow down the list of invoices by criteria such as Accounting Entity, Invoice Date, Supplier, or Purchase Order Number. Use the filters to help you focus on a specific set of tasks.
- Refresh: Click this button to update the list of invoices in each queue.
- Document viewer: The center panel shows a clear image of the original invoice document so you can cross-reference the data to review or correct.
Data tabs
- Error Details: Shows all errors to fix, such as U/M does not match PO U/M or Total amount is missing.
- Header: Contains all the high-level information about the invoice, such as these examples:
- Supplier Invoice Number
- Invoice Date and Due Date
- PO Number
- Our Reference
- Total Amount and Currency
- Comments: Use this field for any notes while working in RPA with the invoice. These notes are not transferred to M3.
- Supplier details such as VAT, Org Number, IBAN, Account Number, Name, and Address are extracted from the invoice to use in finding the M3 supplier. These details are not editable and are not sent to M3.
- Correlation ID: Links the invoice in M3 back to the document in IDM.
- File Name and Last Processed Time: System fields provided for information only.
- Use supplier for self-learning: Select Yes if the supplier correction should be used for self-learning and included in future costing element identification. To skip it, select No or leave the field blank. The field is blank by default.
- Use items for self-learning: Select Yes if the item code correction should be used for self-learning and included in future item identification. To skip it, select No or leave the field blank. The field is blank by default.
- Use charges for self-learning: Select Yes if the costing element correction should be used for self-learning and included in future costing element identification. To skip it, select No or leave the field blank. The field is blank by default.
Note: All required fields are marked with an asterisk. - VAT/Tax: Shows all tax-related information. You can correct the VAT base amount, VAT rate, and VAT amount. Use the Add Row and Delete Row buttons to handle invoices with multiple tax rates.
- Item Lines: Shows the details of each line item on the invoice. You can review and edit these line items:
- PO Number
- PO Line and PO Subline Number
- Invoice Item Number and corresponding M3 Item Number
- Invoice Item description
- Quantity and PO Unit of Measure
- Purchase price Unit of Measure
- Gross Price and Gross Amount
- Delivery Note Number
- Line Charges: Shows any additional charges that apply to specific invoice lines, such as handling or service fees. You can map the charge to the correct M3 charge text, costing element, and sequence number as required fields.
- Order Charges: Shows charges that apply to the entire order, such as freight. You can assign M3 charge text, costing element, sequence number, and amount as required fields to ensure correct booking.
Key actions
After making corrections, you can click these buttons:
- : After making corrections on a tab, it is a good practice to click this button to save your changes.
- : After resolving all the errors for an invoice, click this button to trigger re-validation of data in the next batch. If successfully validated, the invoice is sent to M3 for processing.
Lookup framework
The Review Center includes integrated lookup capabilities that allow you to search and retrieve master data directly from M3 without leaving the exception handling process. This eliminates the need to switch between applications when correcting invoice data.
These lookups are available:
- Supplier Lookup: Search for and select suppliers from the M3 supplier master (CRS620).
- Purchase Order Lookup: Search for valid Purchase Orders in M3 (PPS200).
- Purchase Order Line Lookup: Retrieve specific PO lines for a selected Purchase Order.
- Item Lookup: Search for items in the M3 item master (MMS001) or item alias file (MMS025).
- Costing Element Lookup: Search for costing elements configured in 'Costing Element. Open' (PPS280).
- PO Unit of Measure: Search for and select Unit of Measure from 'Unit of Measure. Open' (CRS050).
To use a lookup, click the lookup icon next to the relevant field in the Review Center. A search dialog is displayed, where you can enter search criteria and select the correct value from the results.
Comments retention
User comments entered during invoice exception handling in the Review Center are preserved across multiple validation and reprocessing cycles. Comments remain associated with the invoice until successful posting to M3.
This behavior ensures that:
- Notes added during review and correction are retained when an invoice is resubmitted for processing.
- Multiple users involved in resolving complex exceptions can track previous actions and decisions.
- A complete audit trail of comments is maintained to support traceability and collaboration.
AI Review Center Agent
The Review Center integrates an AI-powered assistant that provides contextual guidance during invoice exception handling. The agent helps you resolve exceptions more efficiently by providing relevant information and recommendations without requiring you to look up data in other applications.
This list shows some of the areas where the AI agent helps:
- Goods Receipt Information: Retrieves and displays goods receipt details relevant to the invoice being reviewed, which helps you verify quantities and delivery status.
- Unit of Measure Recommendations: Provides alternative unit-of-measure suggestions when a U/M mismatch is detected, based on the PO line and item configuration.
- Costing Element Validation: Assists in identifying the correct costing element for charges by analyzing charge descriptions and suggesting matching elements from M3.
The AI agent is available as a contextual panel in the Review Center. It analyzes the current invoice and exception details to provide targeted recommendations. You can accept, modify, or dismiss the agent's suggestions before submitting the invoice for reprocessing.
