Smart Reconciliation process flow

The Smart Reconciliation application is broken down into three main processes: application setup, user setup, and reconciling invoices. This section provides an overview of these main processes.

Application setup

Smart Reconciliation reads important global settings that control application-specific functions. These global settings are stored in an XML flat file, which the administrator must set up manually using a text editor. The administrator uses the Smart Reconciliation configuration page to apply the global settings to the application.

User setup

An administrator uses the Smart Reconciliation Administration pages to set up and maintain Smart Reconciliation users. The administration pages enable you to assign a company or range of companies to a user and range of vendors to the user.

Reconciling invoices

Smart Reconciliation users access the application to filter and match exception invoices. You can match at the invoice level or at the item detail level. You can use the Work List filter functionality to create a work list that enables you to work through invoices. In the match pages, you can review or create sets of invoice and receiver lines at the invoice or purchase order level, which you will then submit for matching. All lines where the quantity and unit costs match are automatically placed into match sets. Only lines with exceptions are displayed in the work area. See Automatic match.
