Extracting the pending benefits records

This procedure teaches you how to extract the pending benefits records to a CSV file. When employees specify or update benefit information, the system stores the pending employee benefit records in the file and the employee dependent benefit records in the file. You must extract these files to a CSV file for processing.

You must perform this procedure only if you set the Immediate Update field to No (pending) on the Web Benefit Enrollment Rules (BS01) form. If you perform this procedure, you must also perform the Updating Employee and Dependent Benefits procedure.

Extract the pending benefits record

  1. Access Web Pending Employee Benefit Extract (BS531). This program can be used to extract both employee and dependent benefits enrollments.
  2. Specify pending record extraction information. Specify a company name and at least one plan type.
  3. Specify this information:

    Employee Range

    Date Range

    Specify date ranges to extract data for specific groups of records.
    Delete

    Specify Y (Yes) to delete the pending benefits records from the BNBEN file after the system creates the CSV file.

    Specify N (No) to save the pending benefits records in the BNBEN file after the system creates the CSV file.

    Note: You only have to run this process once for annual enrollment. For new hire and life event enrollment, you should determine when you want to run this process (for example, weekly, bi-weekly).
  4. Access Web Pending Employee Benefit Extract (BS531). Add the job name and corresponding parameters.
  5. Access the Job Definition (jobdef) environment utility. Select or specify the job name you added on Web Pending Employee Benefit Extract (BS531).
    Note:  You only have to set up the Job Definition (jobdef) once. However, you can maintain the jobdef attributes when necessary.
  6. Select the Form ID field and then press F6. Select CSV File Attributes from the Define menu. The system displays the Jobstep CSV Workfile Attribute Definition form.
  7. To extract employee benefits, navigate to the File Name field and select BNBATCH. In the External Name field, specify the path and file name on the Lawson server where you want the system to store the extracted employee enrollment records until you upload them.
  8. To extract dependent benefits, navigate to the File Name field and select BNDEPBATCH. In the External Name field, specify the path and file name on the Lawson server where you want the system to store the extracted dependent enrollment records until you upload them. This must be a different path and file name than the one you specified in step 6 to avoid overwriting that file.
  9. Select the External Name field. Specify the path and file name on the Lawson server where you want the system to store the extracted enrollment records until you upload them.
  10. Press the enter key twice to save the parameters. Press the Esc (Escape) key until you exit the environment forms and return to the application.
  11. Submit the job on Web Pending Employee Benefits Extract (BS531) to create the CSV file(s) in the server locations specified in jobdef.
