Using the Profile page

The Profile page enables you to define your requisition header information.

  1. On the menu, click the Profile tab.
  2. Specify this information:
    Reference Number

    User-defined field.

    Company

    The company that is creating the requisition.

    With intercompany requisitioning, if you change the requesting company, then the requesting location on the Basic tab and the From Company and From Location on the Detail Profile tab are cleared. You must select a valid requesting location for that company and when you select a task, the From Company and From Location is set as default. To change their default values, select the new values and continue requesting items.

    Note: The Vendor, Purchase From, and Buyer fields are blank until you select a task and a requisition number is assigned.
    Requesting Location (required)

    The location where the goods are delivered and billed.

    Requisition Description

    User-defined field that is used for searching in the Inquiry task.

    Priority

    Use for allocation purpose. Values are based on rqc_config.xml or RQ95.1 setup.

  3. Click the Detail Profile tab.

    The Detail Profile tab provides default data definitions and some information from Requesting Locations (RQ01.1).

  4. Specify this information:
    Requisition

    A Lawson system internally assigned requisition number used for processing.

    This field is blank until an item is added to the requisition.

    Cost Default Vendor

    The vendor that you will use if you need to purchase an item.

  5. Click the Drop Ship tab.

    The Drop Ship tab provides address information from the Requesting Location (RQ01.1) and additional default data. You can enable or disable Drop Ship on Requesters (RQ04.1).

  6. Click the User Fields tab.
    Note: User fields that were enabled for your Purchase Order company are viewable.
  7. Click the Accounting tab.

    The Accounting tab is populated with information from Requesting Locations (RQ01.1). These values are set as default to the requisition lines if they are assigned on RQ01.1 or the requesting location. Accounting Unit, Account, Sub Account, Activity, and Account Category can be specified or selected. If there are specific accounting units assigned to a requester in RQ04.1, then these are the only accounting units available for that requester.

  8. Select the User Analysis tab.

    The User Analysis tab is only available if Strategic Ledger is enabled.

    The values are used as default to lines.

  9. Click the Comments tab, which is accessible after the requisition header is created and a requisition number is assigned, and then select a comment type.
    Comment type
    Default options classifying the comment.
    • Comments to Print on Internal Documents

    • Comments to Print on Delivery Tickets

    • Comments to Print on Requisitions

    • Comments to Print on Purchase Orders

    • Comments to Print on Pick Lists

    • Comments to Print on Receiving Documents

    • Requisition Line Display Only Comments

    • Invoice Comments

    Alternatively, you can also click on Comment Code link to select a predefined comment code (defined using Comment Codes (PO12.1)).

    To add a comment, perform these steps:
    1. Populate the title and text fields.
    2. Click Add.
    To update a comment, perform these steps:
    1. Click View Comments.
    2. Select the preferred comment.
    3. Change the title or text fields.
    4. Click Update.
    To delete a comment, perform these steps:
    1. Click View Comments.
    2. Select the preferred comment.
    3. Click Delete.
    To copy a comment, perform these steps:
    1. Click View Comments.
    2. Select the preferred comment.
    3. In the Copy comment to list, select the preferred comment type.
  10. You can attach a URL to your requisition, display a URL from an existing requisition, and delete a URL from a requisition.
    • Adding a URL to an existing requisition header:

      1. Go to Attach a URL to the Requisition.

      2. Specify a URL in the Enter a URL text box.

        Note: You must include http:// in front of your URL; for example, http://www.infor.com.
      3. Click Add.

      4. Repeat the last two steps to add multiple URLs to the requisition.

    • Displaying a URL from an existing requisition header:

      1. Go to Attach a URL to the Requisition.

      2. Use the drop-down to select the URL that you want to display.

      3. Click Open.

    • Deleting a URL from an existing requisition header:

      1. Go to Attach a URL to the Requisition.

      2. Use the drop-down to select the URL that you want to delete.

      3. Click Delete.

    Note: Browse functionality was removed in RQC version 10.0.8.10.30 for all supported browsers. See KB Article 2239746.
  11. Click the Procedure tab.

    The Procedure tab enables the requester to specify procedure information. The values are used as default to lines.

  12. Click the Add On Cost Spread tab.

    The Add On Cost Spread is a requisition header option that you can use to spread or divide add-on costs. Specify the Add On Cost Spread or allowances over the existing lines on a requisition.

    Note: You can only specify or maintain Add On Cost Spread if RQ04.1 Allow Display of Add-on Charge = 1 – Yes.
  13. Specify this information:
    Add On Cost Code
    Specify the Add On Cost Code (defined using Comment Codes (MA08.1)) to automatically create expense or allowance associated to the line.
    Add-On Charge Percentage Rate

    Specify the Add-On Charge Percentage Rate.

    This value is multiplied by the line unit cost and the total becomes the unit add-on charge for the requisition line.

    Add-On Charge Amount
    Define a numeric value or numeric amount of the add cost to be spread.
    Note: If you opt to define an amount in the AOC spread, then ensure that Spread Method in MA08.1 is defined as A = Amount.

    You cannot provide both rate value and amount in the same field.

    Zero Cost
    Select whether the AOC is zero cost.
    Spread Method
    Select Spread Method if A = Amount, Q – Quantity, and R – Rate from the header, which will be spread into the requisition lines, are added.
    Taxable
    Select whether the AOC is taxable or tax exempt.
    Add-On Cost Tax
    If the item is taxable, then assign a valid tax code to it. You can set up tax codes using Tax Code Master (TX01.1).
    Summary
    Select whether the AOC is summary.
    Print on RQ
    Select whether you will print the AOC.
    Vendor
    The Accounts Payable vendor for the item that is in the process of requisition.
    Purchase From
    The Purchase From location for the vendor.
    Currency Code
    Use to define and maintain a single currency code for this requisition AOC spread.
    Note: Use the horizontal scroll bar to access the other fields for multiple distributions.
  14. Click the Miscellaneous Add-on Cost tab.
    Attach Miscellaneous Add-on Cost or allowance to the requisition header and apply to the entire requisition. The amount you are adding can be an amount or a percentage of the total unit for the requisition.
    Note: You can only specify or maintain Miscellaneous Add-on Cost if RQ04.1 Allow Display of Add-on Charge = 1 – Yes.
  15. Specify this information:
    Add On Cost Code
    Specify the Add On Cost Code (defined using Comment Codes (MA08.1)) to automatically create the expense or allowance associated to the line.
    Add-On Charge Percentage Rate

    Specify the Add-On Charge Percentage Rate.

    This value is multiplied by the line unit cost and the total becomes the unit add-on charge for the requisition line.

    Total
    You can specify an AOC amount at this level, or a calculated amount if a unit AOC or AOC percent is specified.
    Taxable
    Select whether the AOC is taxable or tax exempt.
    Add-On Cost Tax
    If the item is taxable, then assign a valid tax code to it. You set up tax codes using Tax Code Master (TX01.1).
    Print on RQ
    Select whether you will print the AOC.
    Distribution Company
    The company number that you will use for posting.
    Accounting Unit
    The General Ledger accounting unit for the AOC line. Together with the account and subaccount, these make up the location account where amounts are stored.
    Account
    The General Ledger account for the AOC line. Together with the accounting unit and subaccount, these make up the location account where amounts are stored.
    Subaccount
    The General Ledger subaccount for the AOC line. Together with the accounting unit and account, these make up the location account where amounts are stored.
    Vendor
    The Accounts Payable vendor for the item that is in the process of requisition.
    Purchase From
    The Purchase From location for the vendor.
    Activity
    The activity that you will assign to the AOC line. Ensure that you have defined the activity in the Project Accounting application.
    Account Category
    The account category for the AOC line. Ensure that you have defined the account category in the Project Accounting application.
    Asset Template
    The asset template for the AOC line. Ensure that the template is already defined in the Asset Management application.
    Asset Code
    The asset assigned to the AOC line, previously defined in the Asset Management application.
    Billing Category
    Select a billing category for the distribution.
    Zero Cost
    Select whether the AOC is zero cost.
    Currency Code
    Use to define and maintain a single currency code for this requisition Miscellaneous Add-on Costs.
    Note: Use the horizontal scroll bar to access the other fields for multiple distributions.
