Setting up or editing a user in Smart Reconciliation
Use this procedure to set up a new user or edit an existing user in Smart Reconciliation.
Before you can set up new Smart Reconciliation users, there is some set up required in the Lawson environment. See the information about the post-installation steps in the Smart Reconciliation Installation Guide.
Complete these steps to set up or edit a Smart Reconciliation user.
-
Access the Smart Reconciliation Administrator User
Setup page.
To create a new user, click Setup a User. To edit an existing user, click the Edit icon in the line.
-
To set up the user, specify this information:
- User ID
-
Specify or select the user's identification. The user ID is the user's web login.
If you are creating a new user, then the Web Users Selection is displayed.
Note: Click Search to search for a user (you can do a partial or full name search). - Company
-
Select the user's company or companies. Click the select icon to select the company or companies on Company Selection.
- Match Preference
-
Select the match preference for the user.
Click Detail Match and the user will have access to the Detail Match page to match invoices at the invoice detail level. Click Invoice Match and the user will have access to the Invoice Match page to match invoices at the purchase order level. Click Both to give users access to both the Detail Match and Invoice Match pages.
- Invoices
-
Select the type of invoices for the user:
-
All Invoices - the user can match all invoices for the company and vendors assigned to that user.
-
Only Invoices with Receipt Details - the user can only match invoices that have receipt details for the company and vendors assigned to that user.
-
- Display Only
-
Select the application access preference for the user.
Select Display Only and the user cannot create sets or match invoices, but can use all the other features of Smart Reconciliation in order to navigate and view details. When Display Only is not selected, the user will have full access to the Smart Reconciliation application.
- Restrict Chargebacks
-
Select the chargebacks access preference for the user.
If this option is selected, then all chargeback activities on the detail and invoice match forms are disabled.
- Select All Vendors in Range
-
You can select a vendor range the user will work with.
Specify a letter representing vendor names that begin with that letter for starting and ending range. Each starting or ending range can have up to three letters. You can specify a maximum of 25 vendor ranges per user.
Note: Vendor names in Smart Reconciliation are the vendors' search names. Search Name is specified on Vendor (AP10.1), on the Contacts tab. If a vendor's search name is changed on AP10.1, then it may no longer be included in the Smart Reconciliation user's vendor list. - Select Individual Vendors
-
Click Search to view all vendors or partial or full vendor names.
If the user has multiple companies, then you cannot select individual vendors. The only valid selection is a range of vendors.
- Selected Vendors
-
The Selected Vendors list displays all the letters and individual vendors assigned to the user. Click the Undo icon to remove a vendor or a letter of the alphabet from the list.
- Save
-
Click to save the new or changed user information and return to the Smart Reconciliation Administrator page. If you set up a new user, then the new user displays in the list.
- Cancel
-
Click to cancel and return to the Smart Reconciliation Administrator page.
-
After you have set up all your users, run IOS cache
refresh to make the new Smart Reconciliation users available.

-
Optionally, to improve load time performance, run Smart Recon Queue Build (MA167).
This program is meant for those with large vendor files. MA167 populates the table used by Smart Reconciliation, which you must run after Auto Matching (MA126). When you open Smart Reconciliation, there is minimal time to load invoices into the work queue.
