Employee time entry

Within employee time specify, there is the ability to specify time on a daily basis, a pay period basis or an exception basis.

Daily Entry

The Daily Entry task enables employees to specify and maintain their time records one day at a time.

  • This task initially shows a time card for the current date, but the employee can navigate to any other date. The dates are based on the time record entry dates defined for the employee’s pay plan.

  • You can determine which fields employees have access to when you set up the time entry form for employee groups on Time Entry Form (HS01.1). The employee group the employee belongs to determines which form is displayed. If there is more than one time form for which the employee qualifies based on employee group, then the system shows the first form (alphabetically by employee group). If there are no forms for an employee group, then the system uses the form for blank or all employees.

  • Employees can specify as many records per day as necessary. The system calculates the total hours per day.

  • Available entry dates are based on the dates setup on Time Entry Pay Period Dates (HS03.1).

  • Employees can add comments to a pay record by selecting the comments icon. The date on which the employee specifies information is automatically used as default to the date the employee is specifying time for in Daily Time Entry.

  • Copy, paste, and delete row functions are available to facilitate ease of data entry.

  • Employees click the Return to Period View button to navigate to a Pay Period Entry view, and click the Submit for approval button when they are ready for their time card to be approved. Once submitted, the total hours for the period shows on the manager’s summary view.

  • Employees are encouraged to submit time cards on a pay period basis, but can resubmit as often as necessary, up until it is changed to an approved or hold status.

  • Values for fields are available through drop-down selects. Employees can use the select box, or key data directly into the field.

  • The time records update a pending time record file. You can use Pending Time Record Extract (HS535) to select the time records that you want to process. HS535 updates the time records to history status, and create a .csv file. The .csv file is used as input to Time Record Input (PR530) to update the time record file for payroll processing.

  • The employee’s vacation and sick balances are available for verification.

  • If you are using inter-company relationships from your HR company set up on GL25.1, then you are required to define the GL COMPANY field on your timecard form on the HS01.1 program. Employees must select the GL company field on the Time Entry form to obtain the correct list of accounting units for the selected GL company. If more than one GL company is listed, then communicate to your employees the appropriate GL company to select.

Pay Period Entry

Pay Period Entry enables employees to specify time for a complete pay period on one form.

  • The form uses the current pay period as default and employees can navigate to other pay periods using select arrows or a pull-down calendar. The pay period dates are based on the dates of the employee’s pay plan.

  • If employees needs to split time between multiple pay codes or activities, etc., then they can access the daily time record screen by selecting the split icon.

  • Total hours for the pay period are displayed at the bottom of the screen.

  • The fields which the employee has access to are determined by the time entry form for the employee’s group as defined in Time Entry Form (HS01.1).

  • If there is more than one time form for which the employee qualifies based on employee group, then the system shows the first form. If there are no forms for an employee group, then the system uses the form for blank or all employees.

  • Available entry dates are based on what is setup in Time Entry Pay Period Dates (HS03.1).

Exception Entry enables employees to specify exception time for a complete pay period on one form. The pay period is based on the employee’s pay plan.

  • You can define which fields and pay codes employees have access to when you set up the time entry form for employee groups in Exception, Offset Time Record Rules (PR28.1). The employee group that the employee belongs to determines which form is displayed. If there is more than one time form for which the employee qualifies based on employee group, then the system shows the first form (alphabetically by employee group). If there are no forms for an employee group, then the system uses the form for blank or all employees.

  • Time off balances are available to the employee for verification through a button at the top right of the form.

Print Time

Print Time enables employees to print specified time cards for authorized signature.

  • The employee must specify a date range of time records to print.

  • Hours are totaled for the date-range specified.

  • A signature line for the employee and manager are provided, and a place to print the supervisor’s name and phone number.
