Distributing a report

You can define a distribution group and assign that distribution group to a report. When you generate the report, it is automatically sent to the Print Manager of each user in the distribution group or it is automatically printed for each user in the distribution group. Use this procedure to automatically distribute a report when you generate it.

Note: Distribution is part of the environment. You need a Lawson Interface Desktop (LID) session to distribute a report.
  1. Access Report Writer (RW00.1).
  2. If you want to define a distribution group for the report, then select the Define action in the Distribution Group field and use the Distribution Group Subform to define a group. Use these guidelines to specify the field values:
    User Name

    The application automatically saves a copy of the generated report in the Print Manager under the login IDs of the users that you specify here.

    Auto Print

    Select whether you want to automatically print the file on a printer. If you select Yes, then the print file is printed on the printer that you designate in the Printer field.

    If you select No, then the application enters Yes in the Save field and moves you to the next line. When the job runs, the print file is saved to the Print Manager of the user.

    Save

    Select Yes to save one copy of the print file to the Print Manager for the user. If you select No, then the application deletes the Print Manager copy after running the job. You cannot select No in the Save field if you selected No in the Auto Print field.

    Note: Only one physical copy of the print file is created and stored on the hard drive, regardless of the number of users the job was distributed to.
    Printer

    Select the printer on which you want to print the report for the user. If you select Yes in the Auto Print field, then the system selects the default printer assigned to the user. If you select No in the Auto Print field, then you must leave this field blank.

    Printed Copies

    Specify the number of copies you want to have sent to the printer. If you select No in the Auto Print field, then you must leave this field blank.

    Note: The number of printed copies does not include the copy the application sends to the Print Manager.
  3. Repeat step 2 for each user that you want to include in the distribution group.
  4. Click OK twice to save the distribution group definition.
    Note: A display message on the Distribution tab shows the date a report was last printed.
  5. Define distribution options for the report on the Distribution tab on Report Writer (RW00.1). Use these guidelines to specify the field values:
    Distribution Group

    You can select a distribution group to send a copy of the report to a predefined group of people. If you select a Distribution Group, then leave the Printer, Number of Copies, and Save Report fields blank.

    Printer

    Specify or select the printer where you want to print the report.

    Number of Copies

    Specify or select the number of reports that you want to print.

    Save Report

    This field determines whether you save the report output in Print Manager. The default setting is No.
