Tracking assigned resources

Track assigned resources against the current budget and monitor the variance. Position Rules (PA06) control what is being included in the assigned resource counts. If position rules allow authorized counts, assigned resources track against the authorized or revised budget. If you define position rules for automatic counting, Personnel Administration updates the assigned resource counts each time you hire or transfer an employee, open a requisition, or fill a requisition.

You must have defined the employee status codes with associated count values on Employee Status Codes (HR03.1). You must have defined your requisition status codes with associated count values on HR Code Setup (HR04), type RQ. Finally, you must have assigned these statuses to your employees and requisitions.

To track assigned resources

  1. Access Assigned Resources (PA11.1).
  2. Depending on your count category, use the following guidelines to enter field values:
    Position

    If you indicate that Positions are used, the count category Position is required. Select a position. Do not make a selection in the Process Level, Department, or Job Code fields.

    Process Level

    If your count category includes process level, select a process level. You must also select a job code or a job code and a department.

    Department

    If your count category includes department, select a department. You will also need to select a process level and job code.

    Job Code

    If your count category includes job code, select a job code. You must also select a process level, or process level and department.

    Active Employee Head Count

    The number of active employees in the assigned resource category displays.

    Active Employee FTE

    The total FTE of active employees in this assigned resource category displays.

    Not Active Employee Head Count

    The number of not active employees in this assigned resource category displays.

    Not Active Employee FTE

    The total FTE of employees in the not active resource category displays.

    Active Requisitions Head Count

    The total number of remaining openings for active requisition display.

    Active Requisition FTE

    The total number of remaining FTE for active requisitions in this assigned resource category displays.

  3. Select the Inquire form function.

    If you want to include non-employees in the automatic count, such as contractors or temporary workers, add their count to the assigned resources manually or set the status code on Employee Status Codes (HR03.1) to include these non-employees.
