Creating the EEA file

Create CSV files to load Lawson data into the EECRS software. Loading the CSV files into the EECRS software will help you meet the reporting requirements of the Employment Equity Act for Canada's federally regulated employers in the private sector, Crown Corporations with 100 or more employees, and the Federal Contractors Program for Employment Equity.

EECRS CSV Interface (PA594) creates three CSV files:

  • Employee data

  • Promotion data

  • Termination data

During the reporting year, you must have pay classes, personnel actions, and statuses that reflect the information needed for EEA reporting purposes. If you use temporary employees, you must use contracts. Tracking employee contracts

To create the EEA file

  1. Access EECRS CSV Interface (PA594).
  2. On the Main tab, use the following guidelines to enter field values:
    Report Date

    Type the date you want to create the EEA report for. This field is required and must be in the format mm/dd/yy.

    Hire Date

    Select the type of hire date the application uses to select the employees it includes in the CSV file. This field is required.

    Check History

    Select whether the application uses employee history to create the CSV file. If you do not select an option in this field, it defaults to Check History.

    Note: The application always checks history for employees with a current status of Terminated to determine what their statuses were before termination.
  3. From the Status tab, map your statuses to those used by the EECRS system or used to determine data to pass to EECRS.
  4. From the Promotions tab, select the personnel action you use for promotions. The application creates a promotion record for employees promoted within the reporting year using the selected personnel action and reason.
  5. From the Transferred tab, select the personnel action you use for transferred employees. The application uses the combination of action and reason to determine if an employee has been transferred due to a corporate action within the reporting year.
  6. Select the Add form function and submit the report.
