Extending an offer

Track the job offers associated with a requisition, that your company extends to candidates.

To track extended offers

  1. AccessRequisition Offers (PA45.1) .
  2. Complete the upper section of the form using the following guidelines:
    Requisition

    Select the requisition.

    Note: Use the Drill Around feature to transfer to the Requisition Totals or Offers subform.
    Type

    Select whether the offer is for an internal or external candidate.

    Applicant

    Select a candidate.

    The value in the Type field determines whether internal or external candidates are valid in this field.

    Offer Type

    Select the type of offer.

    Each time an offer is extended, accepted, or declined, the application updates the Requisition Totals detail subform. For example, the number of accepted offers reduces the number of remaining openings.

    When you add a new offer, the status of preceding offers do not change.

    Date

    Type the date the offer is effective. This is the date the offer was extended, accepted or declined. The date of the offer updates the applicant's current status. The application creates a requisition history record for the date of the offer.

    Reason

    Select the reason for the offer.

    Status

    Select where the applicant is in the recruiting process at the time of the offer.

    If you add or change a status, the application updates the applicant's current requisition status and creates a history record for the requisition. But the overall status on Applicant (PA31.1) does not automatically update. Updating applicant status

  3. Complete the Offer Data section of the form using the following guidelines:
    Start

    If the offer is accepted, type the start date. Or use this field to represent the start date of the offer if that is a parameter of the offer.

    FTE

    Type the Full Time Equivalence of the position being offered to the candidate.

    Letter

    Type any two characters to use for a user-defined purpose. For example, indicate the type of letter sent. This field is not linked to any other codes or fields.

  4. When the requisition offer is accepted, type the date in the Close Requisition field.

    When you close a requisition using the Close Requisition field on Requisition Offers (PA45.1), the date defaults to the Closed Date field on Requisition (PA42.1). Personnel Administration also increases the number filled on the requisition count. If automatic counting is used, the assigned resource counts is reduced for the requisition.
