Performing mass absence plan transfers
Use the following procedure to perform employee and balance transfers between plan structures, or between different positions within a plan structure (if the balance type is position), for multiple employees.
To perform mass absence plan transfers
- Access Mass Absence Plan Transfer (LP180).
- Select a Company.
- Select an absence plan Transfer Option. Mass absence plan transfer options

On the Main form tab, use the following guidelines
to enter field values:
- Processing Group

Select a processing group to limit the employees considered for processing to those employees in a given processing group. If you select a processing group, process level, employee group, and employee fields must all be blank.
Note: If you are secured from any of the process levels in the selected processing group, those process levels will not be included in processing. - Process Level

Select a process level to limit the records listed to just those employees in a given process level.
- Employee Group

Select an employee group to limit the records listed to just those employee in a given group.
If an employee group is selected, other population parameters must be blank.
- Employee
-
Select up to 12 individual employees to be included in the transfer. If employee is selected, the other population parameters must be blank.
- Report Sequence

Select whether to create the full eligibility report or just a listing of employee leave data. The eligibility report will include employee leave data, if it falls within the range used to assess eligibility.
- Employee Sequence
-
Select whether employees should be sorted alphabetically by name, or numerically by number. If you leave this field blank, the employee sort order defined on Company (HR00.1) will be used.
- Update
-
Select whether to run the program in report only mode, or in update mode. In report only mode, employee data will not be updated.

If you selected Transfer Option 1, use the following
guidelines to enter field values on the From Plan tab:
If you select Transfer Option 2, leave all of the fields in the Transfer Option 1 tab blank.
- Effective Date
-
Type the effective date of transfer. This field is required if you select Transfer Option 1.
- Absence Plan
-
Select the plan from which employees will be transferred.
- Structure Employee Group
-
Select the structure employee group from which employee will be transferred.
- Master Overrides
-
Identify how records should be handled during the transfer process.
Value 1 (Include, keep override) will result in records with the master override being included in the transfer, but the master override flag will remain set.
Value 2 will include the records with the master override flag set, but will clear this flag upon transfer to the new structure.
Value 3 will not include any records in the transfer for which the master override flag is set to Yes.
- Create Zero Balances

Select whether the plan balances from which the transfer is occurring should be zeroed out as part of the transfer, or left in place If you select No, no offsetting transactions will be generated for the balance amounts being added to the new employee record.
- End Employee Plan

Select whether the employee master record should be ended in the plan from which the transfer is occurring. If yes is selected, the accrual end date will be populated on the employee’s record.
In addition, complete the To Plan tab using the following guidelines:
- Absence Plan

Select the plan to which the employees will be transferred.
- Structure Employee Group

Select the plan structure to which employees will be transferred.
- Dates Option
-
Identify which, if any, dates should be transferred from one plan to the other.
If dates are already populated for the employee record in the plan structure to which values are being transferred, they will not be overwritten when you select Options 2, 3, or 4.
- Balances Option
-
Select which, if any, balances should be transferred from one plan to the other.
Transactions are be created to effect the transfer of any balance amounts selected. These transactions will need to be processed by Employee Absence Plan Calculation (LP140) to actually update the employee master records in the plans.
- GL Accts, Activities Option

Select whether GL account and/or Activities information is to transfer from one plan to the other.
- Overrides Option
-
Select whether or not any override tables or amounts should transfer from one plan to the other.
- Enrollment Option
-
Select whether enrollment detail records should transfer from one plan to the other. If you select Transferred, the enrollment type must be the same for both plans.
- History Detail Option

Select whether the transaction history records should be transferred from one plan to the other. If you select Transferred, the transaction detail will be copied from one plan to the other. A purge program could be run to eliminate the transaction history in the plan from which the transfer is occurring, if desired.

If you select Transfer Option 2, use the following
guidelines to enter field values:
If you select Transfer Option 1, leave all of the fields in the Transfer Option 2 tab blank.
- Date Range
-
Type a date range in which to look for ended employee master records. Employee records must have an Accrual End Date on or after the beginning date of this range to be included in the transfer processing.
- Include Zero Balances
-
Select whether or not you want the program to transfer data from zero balance master records with accrual end dates within the date range.
Selecting Yes transfers dates and historical details as indicated by other parameters for these employees.
- Transfer Criteria
-
Identify any limitation as to where the balance amounts may be transferred.
Select Option 1 if balances must be transferred to another record within the same plan structure.
Select Option 2 if balances may be transferred to another structure within the plan.
Select Option 3 if balances may be transferred to another record for a plan with the same Plan Category.
Select Option 4 if balances may be transferred to any other employee record found.
- Transfer Date

Select what date should be used to create the balance transfer transactions. If you select From Employee Master, the application uses the later of the accrual end date for the record from which balances are being transferred or the master entry date of the record to which the balances are being transferred.
If you select Current Date, the application uses the current system date.
- Stop Event Processing

Selecting Yes sets the Transfer Flag on Employee Absence Plan Master (LP31.1)for the plan from which the balance is being transferred. The Transfer Flag values that stop even processing will prevent the Employee Absence Plan Calculation (LP140)cycle from processing events/usage transactions for this employee plan record.
- Multiple Positions

Select how to treat employees when multiple records that meet the transfer to criteria are found.
Select First Position Found to transfer the balance amounts to the first eligible employee master record found.
Select Allocate by FTE if there will be multiple records found within the same plan or structure, and if the Balance Type is 2 (Position) so that position codes are on the masters. This allows the program to seek out FTE values for each position and prorate the transfer if found. If FTE values cannot be determined, the first eligible employee master record receives the transfer.
- Dates Options

Select which, if any, dates should be transferred from one plan to the other.
If you select Options 2 though 4, dates will not be overwritten if they are already populated for the employee record in the plan structure to which values are being transferred.
- Balances Option

Select which, if any, balances should be transferred from one plan to the other. Transactions will be created to effect the transfer of any balance amounts selected. These transactions will need to be processed by Employee Absence Plan Calculation (LP140) to update the employee master records in the plans.
- History Detail Option
-
Select whether the transaction history records should be transferred from one plan to the other.
If you select Transferred, the transaction detail will be copied from one plan to the other. A purge program could be run to eliminate the transaction history in the plan from which the transfer is occurring, if desired.
- Add and submit the job.
