Setting up Global Trade Item Numbers

You can set up global trade numbers manually using the GTIN Entry form Global Trade Item Number (IC11.7), or by importing a CSV file using Item Master Load (IC811).

Although you will be more likely to query for information and possibly change the status in this form, GTINs can also be set up here.

To set up the Global Trade Item Number

  1. Access Global Trade Item Number (IC11.7).
  2. Select the Item Group.
  3. Type the Item Number.
  4. Select the GTIN.
  5. Select the Unit of Measure.
  6. Type the Item Description.

    Type or select one or more of the header fields and click the Inquire action button.

  7. On the Main tab, use the following guidelines to enter field values:
    GTIN

    The GTIN can be an 8, 12, 13, or 14 digit number. Select the GTIN format for this trade item. Valid values are: 0 (blank) = GTIN-8; 1 = GTIN-12; 2=GTIN-13; 3=GTIN-14.

    When entering the GTIN from a bar code, the GTIN may only be a portion of the whole bar code. In GS1-128 bar codes, an Application Identifier of (01) precedes the GTIN and other fields like the weight (3202) may follow. Example: (01) 90614141000415 (3202). A Global Trade Item Number (GTIN) is a globally unique number that is assigned to an item by the manufacturer for a given unit of measure.

    GTIN Structure

    This identifies the GTIN format used for this trade item. On an add, this field defaults according to the length of the GTIN entered. For example, if the length of the GTIN entered is 12, the GTIN structure will be GTIN-12

    Status

    Select the status of this trade item. 0 = Active; 1 = Inactive. Defaults to 0.

    Bar Code Type

    Select whether this trade item is physically bar coded with the primary trade item identification number. See field help for list of valid options.

    Brand Name

    Type the recognizable name used by a brand owner to uniquely identify a line of trade items or services. This is recognizable by the consumer.

    Functional Name

    Type the description of how the product or service is used by the consumer.

    Abbreviated Description

    Type an abbreviated description of the trade item that can be used to identify it at the point-of-sale or robotic distribution systems.

    Long Description

    Type the brand owner's description of the product. Ideally, descriptions are item-specific, containing characteristics of the item that will differentiate it from similar products from the same category.

    Effective Date/Effective Time

    Select the date and time the master data version information is valid. The effective date and time can be used for the initial trade item offering or to mark a change in the information related to an existing trade item. This date and time indicate when these changes take effect.

    Date Available/Time Available

    Select the date and time the trade item becomes available from the supplier, including seasonal or temporary trade items and services. This does not address back order situations.

    Publication Date/Publication Time

    Select the date on which all static data associated with the trade item becomes available for viewing and synchronization.

    Manufacturer Information

    Type or select the user defined code, division, and identifier indicating the manufacturer. Name and GLN are display fields.

    Manufacturer GLN

    This is the manufacturer's GLN number from the ICMAFCODE table.

  8. On the Classifications tab, add item classification information. Use the following guidelines to enter field values:
    Segment

    Select the segment code of the UNSPSC coding system. This is a standard product classification scheme used in the US only.

    Family

    Select the family code of the UNSPSC coding system. This is a standard product classification scheme used in the US only.

    Class

    Select the class code of the UNSPSC coding system. This is a standard product classification scheme used in the US only.

    Commodity

    Select the commodity code of the UNSPSC coding system. This is a standard product classification scheme used in the US only.

  9. On the Measurements tab, add item measurement information. Use the following guidelines to enter field values:
    Height

    Type the measurement of the height of the trade item, the vertical dimension from the lowest extremity to the highest extremity, including packaging. At a pallet level the trade item height will include the height of the pallet itself. Business Rules: Measurements are relative to how the customer normally views the trade item. This needs to be associated with a valid UOM.

    Width

    Type the measurement from left to right of the trade item. Measurements are relative to how the customer normally views the trade item. This needs to be associated with a valid UOM.

    Depth

    Type the measurement from front to back of the trade item. Measurements are relative to how the customer normally views the trade item. This needs to be associated with a valid UOM.

    Gross Weight

    Type the gross weight of the trade item. The gross weight includes all packaging materials of the trade item. At pallet level the trade item gross weight includes the weight of the pallet itself. This needs to be associated with a valid UOM.

    Net Weight

    Type the net weight of the trade item and applies to all levels but the base level. The net weight excludes all packaging materials of the trade item. For the base unit, the net content measure replaces the net weight. This needs to be associated with a valid UOM.

    Net Content

    Type the amount of the trade item contained by a package, usually as claimed on the label. In the case of multi-packs, it indicates the net content of the total trade item. For fixed value trade items, it is the value claimed on the package, to avoid variable fill rate issues that arise with some trade items which are sold by volume or weight and whose actual content may vary slightly from batch to batch. In the case of variable quantity trade items, it indicates the average quantity . This needs to be associated with a valid UOM.
