Override Account Categories

To streamline the assignment of grant billing cost classifications to account categories, you can take advantage of the Override Account Categories (AC06) and Cost Classification Templates (GM07.2) features.

Use Override Account Categories feature to ensure that only eligible cost account categories are assigned to posting level activities. A cost classification template is table which maintains the relationship between cost classifications and detail account categories. A template is assigned to a grant to define valid cost classifications for the Grant Budget. When assigned to a grant, it automates the assignment of cost classifications to the grant eligible account categories when the grant is added to a contract as a funding source.

When you run the grant expenditure allocation program, project expenditures are allocated to funding sources and distribution records are created with the grant cost classification. When you create grant pay requests amounts are summarized by the cost classification.

Note:  If you do not have a valid grant budget cost classification assigned to your allocated expenditures, it will not be included in the summarization by cost classification on the pay request. It is recommended that you verify the assignment of cost classifications prior to running the Grant Expenditure Allocation (GM120) in update.
Note: After you create the first assignment, you can copy account category assignments using Assignment Copy (AC105) or Activity Copy (AC110) to reduce the total time required for maintenance. For more information, see Project User Guide for procedures.

To assign override account categories

  1. Access Override Account Categories (AC06.1).
    Note: A Y in the Ovrd Exists field indicates that override information already exists for this account category/activity combination.
  2. Select the posting activity for which you are modifying account category information.
  3. Click Inquire to list the current account category information for the activity.
  4. If you want to override the information for an account category for this activity, use the A - (Add) Function Code for the specific account category line. Then update the following fields as needed.
    St (Status)

    Select the Eligibility status of the account category, Active (A) is eligible or Inactive (I) is Ineligible.

    Bl (Billable)

    Select Yes if the account category is eligible for grant billing.

    Note: If the account category is assigned to a grant activity and you want allocate expenditures and generate a pay request, select Yes in this field.
    Rev (Revenue)

    Select Yes if the account category is eligible for grant billing revenue recognition.

    Note: If you want to recognize revenue and the account category is assigned to a grant activity, select Yes in this field so you can recognize revenue on your allocated grant expenditures.
  5. Click Change to update the account category information.
