Posting Transactions

Use this procedure to post transactions to Project Accounting. The posting programs post released journal entries entered in Project Accounting, and entries that have been imported from other Lawson or non-Lawson applications. Posting updates activity balances and calculates billable and revenue amounts based on the billing and contract setup.

Note: This procedure is required for full accrual, percentage of completion (method A), percentage of completion (method B), and completed contract, method B revenue recognition.
Note: You can run AC190, AC191, BR120 and BR121 concurrently.

Before you can post revenue to the GL accounting unit for full accrual, percentage of completion, or completed contract, method B revenue recognition methods, you must set the Accounting Unit Balances flag to Yes (Y) on Activity Group (AC00.1). Setting up activity groups

To post transactions

  1. Access Activity Posting (AC190).
  2. Use the Activity tab to select transactions for posting. Use the following guidelines to enter field values:
    Activity Group List, Activity Group, Activities, Activity List

    Select the activities for which you want to post transactions. You can select by activity group list, activity group, activity, or activity list.

    Note: If you select a summary activity as one of the individual activities for which you want to post transactions, the report will include transactions for all posting children of that summary activity.
    Transaction Level Type

    Select the activity level to process transactions for:

    • To process transactions for posting activities, select P.

    • To process billing and revenue recognition transactions exclusively for contract activities. select C.

    • To process transactions for both posting and contract activities, select B.

    Burden GL and Offsets

    Select whether you want to update general ledger with burden transactions created during posting.

    Post Acct Unit Balances

    Select whether or not account unit and resources balances should be updated when this program is run. Selecting Yes in this field results in the same updates as running Account Unit Balance Post (AC191) separately.

    Update

    Select whether to update transactions. Select Yes to update. Select No to print the Activity Posting report without updating transactions.

    It is recommended to run in non-update mode first to verify transactions billing and revenue amounts are correct. After you have verified that the transactions and amounts are correct, run Activity Posting (AC190) in update mode.

  3. Use the Other Options tab to further narrow the selection of transactions. Use the following guidelines to enter field values:
    System

    You can select transactions to post by system code. The system code is a two-character code representing a Lawson application. For example, AP represents Accounts Payable, PR represents Payroll, BR represents Billing and Revenue Management, and AC represents Project Accounting.

    Source

    You can select transactions to post by source code. The source code is a two-character code assigned to a transaction to identify where the transaction was created. For example, the code AD is assigned to vendor invoice distributions, PW is assigned to employee payroll wages, and so on.

    Post Through Date

    You can select transactions to post by date. Transactions with a posting date on or earlier than the date you specify are selected for posting. If you leave this field blank, the current date defaults.

    Note: Only transactions with a posting date up to and including the date you enter here are posted.
    Acct Category Type, Summary Account Category, or Account Category

    You can select transaction to post by account category. Select one of the following:

    • Acct Category Type - Select if you want to post only transactions that match that type selected. The types to choose from are: Revenue, Cost, Accrual or Pass Through. If you select a category type, you cannot select a summary account category or account category

    • Summary Account Category - Select if you want to post only transaction that match the summary account category selected. If you select a summary account category, you cannot select an account category type or account category.

    • Account Category - Select if you want to post only transactions that match the account category selected. If you select account category, you cannot select an account category type or a summary account category.

    Operator -

    Select an operator ID if you want to post transactions that match the login ID of the person that created or recreated the transaction.

  4. Use the Output Options tab to define output preferences for the report. Use the following guidelines to enter field values:
    Billing Information

    Select whether to print billing information.

    Beginning and End Balances

    Select whether you want to print activity beginning and ending balances.

    Summarize report

    Select whether you want the report to include summary or detail level information.

    Level

    Select the level to run this report for. Valid values are:

    Activity Group (1), Activity (2), Account Category (3), Company / Acct Unit (4), or Resources (5)

    Page Break

    Select where page breaks should occur. Valid values are: Activity Group (G), Activity (A), or None (N)

    Report Currency

    Select the currency in which you want amounts to appear on the report. Valid values are: Base currency, Report 1 currency, Report 2 currency, All currencies (base, report 1, and report 2)

    Report Style

    Select the style of report to be generated:

    • Standard: shows amounts in base currency

    • Inline: shows the transaction currency and the currencies selected in the Report Currency field (base, report 1, report 2) on the same report

    • Separate: creates separate reports for transaction currency and the selected currencies (base, report 1, and report 2)

    • Both: Generates both the inline and separate reports

    Suppress Totals

    Select whether or not to suppress totals on this report. The default is No.

    Note: You can change billing-related information (such as rates) for transactions you have backed out. When you re-release the transaction for posting, new billing information will be captured.
