Entering Transactions Using Speed Entry

Another way you can enter transactions is through speed entry. The transactions are entered from a speed form using the transaction type, amount, category, and activity fields. Distributions are created by selecting a category code. You can use Transaction Entry (AR42.2) to override the distributions. In this procedure, you will learn how to enter transactions using the speed form.

Before you can use transaction speed entry, you must create the batch in Transaction Header (AR42.1).

To speed enter transactions

  1. Access Transaction Speed Entry (AR42.7).
  2. Use this form to create invoice, debit memo, or credit memo transactions. Use the following guidelines to enter field values:
    Transaction

    Required. Select a transaction type.

    Customer

    Required. Select the customer you are creating the transaction for.

    Amount

    Required. Type the amount of the transaction.

    Category

    Required. Select a category code you want assigned to the distribution.

    User Analysis

    This field identifies the user analysis values included in the transaction.

    If you choose to type values, use commas to separate them. For example: value1,value2,value3,value4

    There are three conditions that affect how you can select user analysis values. See the User Analysis Entry form help or the Strategic Ledger User Guide for additional information.

    Activity

    Activities are the processes or procedures that produce work. Cost objects (products, services, customers, and so on) are the reasons for performing the activity. Type an account category. Account categories are the general ledger accounts by which activity transactions are grouped for budgeting and reporting.

    Reason Code

    Select a reason code for this transaction.

  3. Click the Line Item button to open Line Item Entry (AR42.8). This allows you to assign line item detail if needed, such as assigning activities to distribution lines for use in the Project Accounting application. The sum of the line item must equal the transaction amount.
  4. If you need to override the distribution fields that defaulted from the category codes, then use Transaction Entry (AR42.2). Entering transactions using Transaction Entry This must be done before you release a batch.
