Creating a Transaction Batch (Header)

The first step in manually entering transactions is creating the batch header. The batch groups transactions with control totals and provides default information for all transactions in the batch. It eliminates the need to type redundant information on every transaction record. If you selected the batch control totals option for the company in Company (AR01), the control totals must match the entered totals before the batch can be released. This procedure will describe how to create a transaction header.

To create a transaction header

  1. Access Transaction Header (AR42.1).
  2. Create a transaction batch header. Use the following guidelines to enter field values:
    Batch Number

    If you selected Yes to automatic batch numbering on the Entry tab of Company (AR01.1), the batch number automatically defaults. If you selected No, enter a number.

    Process Level

    Required. Select a process level for the entire batch. The receivable code assigned to the process level defaults for the batch unless you override the code on this form.

    Receivable Code

    Defaults from the process level entered. It can be overridden by entering a code; however, the AR Code from the customer record, if defined, will override both of these.

    Post Date

    General Ledger posting date. If you leave this field blank, the Batch Date defaults. If both the Batch Date and the Post Date fields are blank, the application data defaults.

    Operator

    Required if you selected Yes in the Operator ID Required field on the Entry tab of Company (AR01.1). If you leave it blank, the operator signed on defaults.

    Currency

    If you leave this field blank, the currency of the customer will default onto the transaction. Use the Expanded button on Transaction Entry (AR42.2) to change the currency that defaults from the customer.

    Exchange Rate

    Enter the rate used to convert a transaction amount from a non-base currency to the company base currency. This will override the current GL exchange rate.

    Control Totals

    Required if you selected Yes in the Batch Control field on Entry tab of Company (AR01.1), enter the total number of transactions, and the amount of each type of transaction.

  3. Click the Add action button. Transaction Entry (AR42.2) will pop up. Proceed with your transaction entry.
