Defining system options
Use this procedure to set up processing defaults for Asset Management.
Define system options
- Access System Options (AM16.1).

Define the system options. Specify this information:
- Hold Code Default

Select Y (Held) in this field if you want all the Asset Management records interfaced from Accounts Payable (AP) or Project Accounting (AC) to be held in the interface files and not converted to assets until you switch the Hold flag to N (Not Held) on Single Invoice Interface (AM15.1), Combine Invoice Interface (AM15.2), Single Activity Interface (AM15.3),), Combine Activity Interface (AM15.4), or Mass Additions (AM115). The default is N (Not Held).
- Item Numbering

Set the item numbering scheme to S (System) to have the system automatically generate item numbers. The default is T (Tag), which lets the item number inherit the tag number, if it exists.
You can override the default and specify your own item names on any form that lets you add items.
Note: If you select S (System), the automatically generated number displays on the screen in alphanumeric number order (for example, 1, 10, 2, and so on). - Populate Depreciation Expense Activity

Select No in this field if you do not want the depreciation expense activity to default automatically from the Accounts Payable application when you create assets from interfaced invoices. The default is Yes.
- Calculate Remaining Life

Select Yes in this field to automatically recalculate the remaining life of an asset when either the in-service date or the asset life is adjusted with the Compute Option field set to Yes. The default is No.
- Consolidate Disposal JE (Journal Entry)

Select Yes in this field to display summarized disposal journal entries. Select no to display entries in detail form. The default is Yes.
- Display Journal Entries

Select Yes in this field to display journal entries before sending them to the General Ledger application. This option applies to additions, adjustments, transfers, and disposals.
If you select No in this field, the journal entries are sent directly to the General Ledger application without displaying a prompt to verify them.
Note: If you select No in this field, you can still display the entries on the applicable journal entry forms before the entries are released. - Allocate Depreciation Expense

Select Yes in this field to specify that an asset depreciation expense associated with this company can be allocated to multiple accounting units. If you select No, you cannot add an allocation to an asset type. No is the default.
- Allow Distribution Splitting.

Select Yes in this field to allow distribution splitting of AP invoice and AC activity interface records. The default value is No.
- AP Distributions with Landed Tax

Select Summary to include the landed tax amount in the cost that is sent from Accounts Payable to Asset Management. Select Detail to have the landed tax amounts sent as separate distribution lines from Accounts Payable to Asset Management.
- Use Event Accounts

Select Yes if the specified company will use event accounts. The default is No.
Click the By Type and Events button on Type (AM06.1) or Types (AM06.2) to use event accounts.
The By Type and Events button does not display on Type (AM06.1) and Types (AM06.2) if this field is set to No.
- Compute Option

The Compute Option calculates the depreciation for an asset. The valid values are Yes and No. The Compute Option in AM16.1 will only be applied to Quick Addition (AM20.1). If an asset is specified using AM20.2 to AM20.5, set the Compute Option in AM20.4.
