Assigning bar codes to existing assets

When you set up bar coding for the first time, you may already have assets in Asset Management that you want to make part of the physical inventory. Follow this procedure to assign bar codes to already released assets.

Assign a bar code to an existing asset

  1. Access Additions and Adjustments (AM20.2) – or – Leased Asset Addition and Adjustment (AM21.2).
  2. Inquire on the asset you want to assign a bar code to.
  3. In the Inventory field, select Y (Yes) if this asset is part of the physical inventory.
  4. Use the Change form action to change the asset and accept the adjustment date. The asset is now in an adjusted state.
  5. Access Items (AM20.3 or AM21.3).
  6. Inquire on the asset to display asset item information for the asset.

    Re-use a non-Lawson bar code that already exists on an asset item
    1. On the Detail tab for the item, specify the existing bar code and the item condition (Good, Fair, or Damaged).

    2. To keep track of the model number and serial number, specify this information in the appropriate fields.

    3. On the Location Detail tab, specify the location detail for the item.

      Note: To use a combination of existing and new item bar codes, specify all the existing bar codes for all the existing asset items first to avoid the risk of duplicate bar codes.
    Assign a new bar code to an asset item
    1. Request a bar code label from the bar-code printer and print it. Printing bar-code labels

    2. Affix the bar-code label to the item.

    3. On the Detail tab for the item, specify the new bar code and the item condition (Good, Fair, or Damaged).

    4. To keep track of the model number and serial number, specify this information in the appropriate fields.

    5. On the Location Detail tab, specify the location detail for the item.

      Note: The printer prints the next available bar code sequentially. You can request as many bar-code labels as you need for all the items, and affix them at random on the items. But you must keep track of which bar code you place on which item, since you must specify the bar code manually in Asset Management.
  7. Use the Change form action to change the asset items and accept the adjustment date.
  8. After you have specified bar codes for all the existing items that you want to include in the physical inventory, release the adjusted assets, using Processing Release (AM170).
