Transferring multiple assets

You can perform a mass transfer of an entire set of assets to a new company, location, or division. You select the assets to transfer, then you release the transfer records.

Note: Use this process to transfer whole assets. Steps to perform a partial transfer are found elsewhere in this user guide.

Transferring individual assets

When you transfer assets to another company, some of the existing asset information must be the same for both companies.

Procedure flow: Mass transfer of assets

Transfer multiple assets

  1. Access Mass Transfer Selections (AM35.1).
  2. Define a selection name containing all selections for the mass transfer.

    The selection name remains in the Asset Management application until the transfer is released; then it is deleted.

  3. Select assets for the transfer
    1. Select the company you want to transfer assets for
    2. Specify or select the selection criteria. Specify this information:

      You can Filter to open the Mass Transfer Filter subform and limit the assets that are displayed for selection:

      1. Select (Yes) in the Enable field to enable the filter.

      2. Select the location detail, account group, accounting unit, or accounting unit group that you want to display assets for.

      3. Select OK to enable the display.

      From

      Specify or select the From selection criteria. If you select a From value, you must also select a corresponding To value.

      To

      Specify or select the To criteria. If any To field is left blank, no value is assigned to the field; the original values will not default from the From fields. If a From value exists, you must have a corresponding To value; if a To value exists without the From value, all the assets meeting the other selection criteria are transferred to the To value.

      For example, if the From Location field is blank, but you select a To Location value, all the assets selected are transferred to the To Location value, regardless of their old location.

      Select All

      To select all or most of the assets that fit the selection criteria, you must follow the Transfer all Assets That Match Criteria procedure, below:

      Total

      Click the Total button after you have made selections to view the number of assets selected and their total cost.

  4. To transfer all Assets That Match Criteria:
    1. Specify or select (Y) in the Select All field.
    2. Select Load to display the assets that meet the selection criteria that you specified in the From fields.
    3. Add the mass transfer selection record.

      An X appears next to all selected assets.

    4. To deselect any assets that you do not want to include in the transfer, specify N in the Select All field and then specify a D (Delete) in the SC field.

      If more than eight assets meet the selection criteria, you must page down the list and continue to delete the assets that you do not want to transfer.

      Note: The deselected assets are deleted only from the selection. They still exist in their original state.
    5. Select Change to accept the revised selection.

      To select only a few of the assets that fit the selection:

    6. Specify or select N in the Select All field.
    7. Select Load to display the assets that meet the selection criteria that you specified in the From fields.
    8. Specify or select A (Add) in the SC field to mark the assets that you want to transfer.

      If more than eight assets meet the selection criteria, you must page down the list and continue to add the assets that you want to transfer.

    9. Add the transfers.

      An X appears next to all selected assets.

  5. Select the Book Selection tab to map the book transfer of assets.
  6. Select the book(s) you will transfer from and the book(s) you will transfer to.
    Note: Currency translation is done at the exchange rate of the asset basis. YTD and LTD depreciation is done at the "to" company's book currency.
  7. Verify the accuracy of transfer selections by running Mass Transfers (AM135) with an N (No) in the Release field to produce an edit listing of the transfers.
  8. If any information is incorrect, change or delete the transfer selections on AM35.1.
    • You cannot change the selection name.

    • To delete the entire selection, use the Delete form action.

    • To delete selected assets, use the D (Delete) line function followed by the Change form action.

  9. Release the transfers by running by Mass Transfers (AM135). Specify this information:
    Selection Name

    Specify or select the name of the selection.

    Date

    Specify or select the date for the transfer. This can be any date within the current fiscal year.

    Release

    Specify or select Y (Yes) to release the transfers.

    Specify or select N to produce an edit listing of the transfers made.

    Posting Entry

    Specify or select Y (Yes) to accept the posting entries. If you accept the entries, you must specify a date in the Posting Date field.

    Specify or select N (Yes) to reject the posting entries.

  10. Release the transferred assets by using AM170.
    Note: This procedure can transfer journal entries to the General Ledger and Strategic Ledger applications. The journal entries are posted as part of the General Ledger and Strategic Ledger processing cycles.
