Disposing of multiple assets

Use the Mass Disposal method to select multiple assets for disposal. You select assets based on specific parameters, deselect any selected assets you do not want selected, and then dispose of all the remaining selected assets.

Note: To perform a partial disposal, you must dispose of the individual asset.

Dispose of multiple assets

  1. Access Mass Disposal (AM45.1).
  2. Select assets for disposal. Specify this information:
    Selection Name

    The selection name is required. The selection name groups all assets to be disposed together. The selection name remains in the system until the disposal is released. Then the selection name disappears.

    Company, Company, Lease, Location, Division, Type, Asset Group, List

    Use these fields to limit the assets that can be selected for disposal.

    Filter button

    Click the Filter button to open the Mass Disposal Filter subform and limit the assets that are displayed for selection:

    • Select Y (Yes) in the Enable field to enable the filter.

    • Select the location, location detail, account group, accounting unit, or accounting unit group that you want to display assets for.

    • Click the Checkmark (OK) to enable the display.

    Select All

    To select all or most of the assets that fit the selection:

    • Specify or select the selection name, company, and other selection criteria.

    • Specify or select Y (Yes) in the Select All field.

    • Use the Load form function to display the assets that meet the selection criteria. If more than eight assets meet the selection criteria, you must page down the list of assets.

    • Add the disposal selection.

      An X appears next to all selected assets.

    • To deselect any assets that you do not want to include in the disposal, specify or select N (No) in the Select All field, specify or select D (Delete) in the SC field, and use the Change form function.

    To select only a few of the assets that fit the selection:

    • Specify or select the selection name, company, and other selection criteria.

    • Specify or select N (No) in the Select All field.

    • Use the Load form function to display the assets that meet the selection criteria. If more than eight assets meet the selection criteria, you must page down the list of assets and mark the assets that you want to dispose of.

    • Specify or select A (Add) in the SC field to mark the assets that you want to dispose of.

    • Add the disposal selection.

      An X appears next to all selected assets.

  3. Verify the accuracy of disposal records by running the Mass Disposals (AM145) with an N (No) in the Release field to produce a report of assets to be verified.

    Specify this information:

    Selection Name

    Specify or select the Selection name that you created using AM45.1.

    Date

    Specify or select the date for the disposal. This can be any date within the current fiscal year.

    Release

    Specify or select N (No) to produce an edit listing of the disposals made.

    Proceeds, Expenses

    Specify the total amount of the proceeds or expenses for all selected assets.

    Allocation Option

    If you specified proceeds or expenses, select how to allocate the proceeds or expenses. The options are B (Book Value) or D (Depreciable Basis).

    Posting Entries

    Specify or select Y (Yes) if you want the disposal journal entries to be transferred to General Ledger, Project Accounting, or Strategic Ledger. You must also specify a posting date in the Posting Date field.

    Specify or select N (No) to reject the posting entries.

  4. If the information is incorrect, you can change selection criteria or delete the disposal selection on AM45.1.
    1. You can change criteria for:
      • Company

      • Account group

      • Type

      • Division

      • Location

    2. You cannot change the selection name.
    3. To delete the entire selection, use the Delete form function.
    4. To deselect selected assets, use the D (Delete) line function followed by the Change form function.
  5. Release the disposal record by running Mass Disposals (AM145). Specify this information:
    Selection Name

    Specify or select the Selection name that you created using AM45.1.

    Date

    Specify or select the date for the transfer. This can be any date within the current fiscal year.

    Release

    Specify or select Y (Yes) to release the transfers.

    Specify or select N (No) to produce an edit listing of the disposals made.

    Proceeds

    Specify the total amount of the proceeds or expenses for all selected assets.

    Allocation

    If you specified proceeds or expenses, specify or select an option to specify how to allocate the proceeds or expenses. The options are B (Book Value) or D (Depreciable Basis).

    Posting Entry

    Specify or select Y (Yes) if you want the disposal journal entries to be transferred to General Ledger, Project Accounting, or Strategic Ledger. You must also specify a posting date in the Posting Date field.

    Specify N (No) to reject the posting entries.

  6. Release the disposed assets by using AM170.
    Note: This procedure can transfer journal entries to General Ledger and to Strategic Ledger. The journal entries are posted as part of the General Ledger and Strategic Ledger processing cycles.
