Purging asset books

Use this procedure to remove obsolete or unwanted asset book records for a book assigned to a company or a company group. You can remove all asset book records or only historical asset book records.

Before you can purge all records from a book, you must change the book status to I (Inactive) on Book (AM00.1) or Books (AM00.2).

Purge asset book records

  1. Access Book Purge (AM310).
  2. Specify purge criteria using these guidelines:
    Book

    You must select an inactive book from which you want to purge records.

    Company or Company Group

    You must select a company or a company group to which the purge is applied. You cannot select both. The only records purged from the selected book are the records created for the company or company group.

    Note: If you select a company group, the book you select must be used for all the companies in the company group.
    Asset or List

    The asset number contains up to ten numeric characters that uniquely identify an asset.

    List Attribute categories are selection parameters used to build a list of objects (accounting units).

    Purge

    You can select whether to purge all book records (A) or historical records (H).

    If you leave this field blank, all book records are purged.

    Note: Historical records are collected only for books that are defined with the Depreciation History field set to Y (Yes) on Book (AM00.1) or Books (AM00.2).
    Archive

    If you select Y (Yes) in this field, the program creates a comma-separated value (CSV) archive file for each Asset Management database file affected by the purge and saves each file in this directory:

    $LAWDIR/ productline /work/ directory (UNIX)

    %LAWDIR%\ productline \work\ directory (Windows)

    /LAWDIR/productline /work/ directory

    AM310 always uses the same file names (one for each affected file). Any time you run AM310 with the Archive field set to Y (Yes), the previously generated purge files are overwritten with the new ones. To preserve a previously archived purge file, you must copy it to a different directory before running AM310 again.

    Print

    If you select Y (Yes) in this file, the program prints a report of what was purged. The default is N (No).

Follow-up task

  • To continue writing asset data to the book after you have purged it, you must change its status back to A (Active) on Book (AM00.1) or Books (AM00.2).
