Selecting report options

This procedure describes how to select options for the Addition Report on Addition Report (AM220).

Note: Many Asset Management report forms include the same fields as Addition Report (AM220). For variations, see the online form and field help.

Select report options

  1. Access Addition Report (AM220).
  2. Select the Selection Options tab to specify the basic report selection criteria using these guidelines:
    Released

    By default, the report includes only released assets. Select N (No) to report on assets that are specified (added) but not released.

    Date Type, Date

    Select the type of dates for the report, in-service dates or purchase dates, and then specify a date range.

    Book

    You can select a book to include in the report only assets assigned to that book.

    Preliminary Close

    Select Y (Yes) in this field to generate the same information that would be generated if you were in the process of closing a period

    Company or Company Group

    One of these two fields is required. You cannot specify both.

    Classification

    The default classification is Purchased. You can select a different classification or combination of classifications to include in the report.

    Location, Division, Type, Property, Category

    Use any or all of these fields to limit the scope of the report. If, for example, you specify a location, the report includes only assets assigned this location. If the Location field is blank, all locations are included.

    Disposals

    You can select whether to include disposed assets and whether disposed items should include assets disposed with the Purge option. You have these options:

    Y - Include both disposed and non-disposed assets, including assets disposed with the Purge option.

    N - Exclude any kind of disposed assets.

    O - Include only disposed assets, including assets disposed with the Purge option.

    X - Include disposed and non-disposed assets, excluding assets disposed with the Purge option.

    D - Include only disposed assets, excluding assets disposed with the Purge option.

    P - Include only assets disposed with the Purge option.

  3. Use the Additional Options tab to specify additional selection criteria.

    Specify this information:

    Simulated, Tax Exempt, Used

    You can include (Y), exclude (N), or include only (O) any or all of these kinds of assets in the report.

    Asset, or List, or Company, Lease

    You can limit the report to one and only one of these: an asset, an asset list, or a lease. All three fields are optional.

    Tag, Asset Group

    You can limit the report to assets assigned a specific tag, and to assets that belong to an asset group.

    Accounting Unit, or Group, or List

    You can limit the report to assets associated with a specific accounting unit or accounting unit group (or with both an accounting unit and accounting unit group), or to assets associated with accounting units that are members of an accounting unit list. Both fields are optional.

    Note: Use List (MX10.1) to define an accounting unit list.
    Creator ID, Creation Date

    You can filter the report by creator and/or creation date range. When you run the report, only criteria matching the Creator ID and Creation Date range values is displayed.

  4. Use the Output Options tab to select which subtotals and attribute values (if any) you want in the report, whether you want comments included in the report, and whether you want a page break between the totals you require.

    Specify this information:

    Comments

    If you included comments in the asset definitions, you can select whether the report should include the comments. The default is N (No).

    Page Break

    You can request a page break between totals.

    Sequence, Miscellaneous

    By default, the report includes totals by asset. You can also request totals by lease, location, division, accounting unit, type, asset group, category, property, or in-service dates by selecting Yes in any or all of these fields.

    Attribute

    You can select up to three asset attributes. The values assigned to assets for these attributes are included in the report.
