Splitting interface records

Using the Split field, you can create multiple interface records from a single invoice or activity interface record. The Split field is found on these forms:

Purpose Form
Single invoice or activity split distributions

Single Invoice Interface (AM15.1)

Single Activity Interface (AM15.3)

Combine invoice or activity split distributions

Combine Invoice Interface (AM15.2)

Combine Activity Interface (AM15.4)

Single Invoice or Activity Split

To split a distribution line into multiple distribution lines on Single Invoice Interface (AM15.1) or Single Activity Interface (AM15.3), select 'Yes in the Split field of an interfaced asset line.

Note: To split the distribution line, the Quantity must be greater than 1.

The result is a number of asset lines equal to the original quantity, and a cost (and tax, if applicable) equally divided among the new lines.

You can release each resulting asset line as a separate asset, or you can assign the same Combine label to each line so they can be released as one asset with multiple items (one item per original asset line).

Combine Invoice or Activity Split

The functionality for Combine Invoice Interface (AM15.2) and Combine Activity Interface (AM15.4) provides two options: D (Derive) and C (Copy).

Note: If Copy is selected and the new distribution lines are released without making changes to the combine codes, the split distribution lines are combined into one asset with multiple items.
  • The Derive option is similar to the single invoice or activity split option, except that it can split multiple asset lines assigned to the same Combine code into as many lines as the total quantity of the combined assets. The Derive option also assigns a new Combine code to each line, consisting of the concatenation of the original Combine code and a sequential number for each new distribution line created. Use this option to create multiple assets from separate distribution lines.

As with the single invoice or activity split, you can release each new line as a separate asset, or you can change the Combine code and release several or all of these lines as a single asset.

  • The Copy option splits multiple asset lines assigned to the same Combine code into as many lines as the total quantity of the combined assets.

The Copy option also takes the existing combine code and copies it to all of the new distribution lines created.

You can then perform a Combine release to create a single asset with multiple items from the split distribution lines.

These tables illustrate the two combine splitting options:

Records in AM15.2 or AM15.4 BEFORE splitting
Distribution Line Description Quantity Cost Combine
    Line 1 Computer 2 120.00 Test
    Line 2 Monitor 2 100.00 Test
Records in AM15.2 or AM15.4 AFTER splitting
Distribution Line Description Quantity Cost Derive Copy
    Line 1a Computer 1 60.00 Test 1 Test
    Line 1b Computer 1 60.00 Test 2 Test
    Line 2a Monitor 1 50.00 Test 1 Test
    Line 2b Monitor 1 50.00 Test 2 Test

Mass Distribution Split

Alternatively, you can use Mass Distribution Split (AM117) to split all the distribution lines that meet the criteria you specify. AM117 provides the same split options as AM15.1, AM15.2, AM15.3, and AM15.4. It also gives you the option of releasing all the resulting split assets in mass.
