Assigning resources to activities (AC/BR)

You must assign resources to activities in order to use Resource Time Entry (AC41.x) or Subcontractor Time and Material Entry (AC42.1). You might also need to assign resources to activities depending on how you set the Employee Edit, Vendor Edit, or Resource Edit options on Activity Group (AC00.1). Use this procedure to assign resources to activities.

You must define activities first before you can assign resources to them. You also must define the resources you want to assign. See Defining resource codes (AC/BR).

  1. Access the form for the type of resource that you want to assign.

    Vendors Vendor Assignment (AC03.4)
    Equipment Equipment Assignment (AC03.6)
  2. Select the activity group that you want in the Activity Group field.
  3. Select the activity that you want to assign the resource to in the Activity field. If you select a summary level activity, then the resource will be valid for all posting activities that reside below the summary activity in the structure. If you leave this field blank, then the resource is valid for all posting activities in the activity group.
  4. Select the resource that you want to assign.
    On this form: Specify or select the resource in these fields:
    AC Person Assignment (AC03.2) Person
    HR Employee Assignment (AC03.3) Company and Employee. Select the Human Resources company for the employee resource that you want. You can override the employee name in the Name field.
    Asset Assignment (AC03.5) Asset. You can override the asset name in the Description field.
    Vendor Assignment (AC03.4) Company and Vendor. Select the Accounts Payable company for the vendor resource that you want. You can override the vendor name in the Name field.
    Equipment Assignment (AC03.6) Equipment
  5. To associate a role with the resource and activity, click Roles to access Role Assignment (AC03.7).
  6. To define a default General Ledger company, accounting unit, and account that will default on transactions involving the resource and activity, click More to access Resource Account (AC03.9). On Resource Account (AC03.9), you can also define the date range in which the resource is eligible to work on this activity.
