Considerations for maintaining activity structures

After initial setup, you need to maintain the activity structure that you established in order to accommodate changes in your organization. Reorganizing the activity structure can involve adding a new level to the structure or moving activities to new level addresses.

Use these guidelines when reorganizing an activity structure:

  • You cannot change summary activities to posting activities and vice versa.

  • You must use a unique level address for an activity within an activity group; multiple activities cannot share the same address within an activity group.

  • If you move a summary level activity, then all posting activities associated with the summary activity are also moved.

  • If you move or copy an activity to another activity group, then the destination activity group must have the same account category structure.

Options for moving activities

These are your options for moving activities:

  • Move activities using the Levels tab on Activity (AC10.1) if you are moving activities to a new location within the same activity group and you want to maintain smart numbering level addresse.s

  • Move an activity to another activity group using Mass Activity Move (AC10.5).

  • Move a summary level activity and all associated posting level activities using Mass Activity Move (AC10.5).

All three move options require that you run Level Reorganization (AC120) to complete the update. Until you run this program, the changes you made on AC10.1 or AC10.5 are considered pending.

If billing has occurred for any of the activities being moved, you must run Billing and Revenue Backout (BR140) to update existing billing and revenue history files before running Level Reorganization (AC120). Billing and Revenue Backout (BR140) updates billing and revenue records with your activity structure changes.

Note: To control variable level addressing as activities are moved, use the Levels tab on Activity (AC10.1). If you use Mass Activity Move (AC10.5), then the system will automatically assign variable level addresses and will not preserve any smart numbering scheme you are using.
