General Ledger History Delete (GL300)

Run General Ledger History Delete (GL300) to delete historical journal entry transactions, comments, consolidation records, and budgets for a fiscal year. General Ledger history must be at least two years old before this program deletes it. You can delete all budgets for a year, or a range of budgets.

This program creates a report showing the total number of header, transaction, and budget lines deleted.

If the Archive Records is Yes, deleted records are removed from the General Ledger database and archived in a comma separated value (CSV) file as follows:

For UNIX/Windows platforms:

  • JE Transactions and Comments are saved in file GLTRANS
  • Consolidations and Balances are saved in files GLAMOUNTS, GLUNITS, CUAMOUNT, GLCONSOL, GLAMOUNTSX, and CUAMOUNTX
  • Budgets are saved in files FBDETAIL and FBDTLHIST

For IBM i platform:

  • JE Transactions and Comments are saved in file DBGLGLT
  • Consolidations and Balances are saved in files DBGLGAM, DBGLGLU, DBGLCAM, DBGLGCN, DBGLGAX, and DBGLCAX
  • Budgets are saved in files DBGLFBD and DBGLFDH
