Verifying Employer Identification Numbers (EIN)

Before you create your W-2 forms, check the setup of your Employer Identification Numbers (EINs). If you do not have your EINs set up correctly, your W-2 forms will not print correctly.

This list identifies ways you can ensure your EINs are set up correctly.

EIN Format Access Tax Authority (PR06.1) and verify that your federal EINs are in the correct format. Federal EINs must be in the format 00-0000000. You must specify the dash between the first two and last seven digits. The federal government also restricts the use of certain numbers as the first two digits in the EIN. Contact the SSA or IRS for more information.
State EINs

Contact the states you report in to find out if they require state EINs in a certain format.

Access Tax Authority (PR06.1) and verify that EINs are defined for each state you file W-2s for.

Report Entity EINs If you have independent process levels, ensure you populated the Additional EIN subforms, which you access from Tax Authority (PR06.1), for each of these process levels.
Employment Code

If you do not define the employment code for a process level, it defaults to Regular when you print W-2 forms or create W-2 electronic file.

For all process levels both dependent and independent, if the employment code is not regular, select the appropriate employment code for the EIN on United States Additional EIN (PR06.2). If you select an employment code other than the default of Regular, the new code will not default from the independent process level down to the dependent process levels.
