ACA Employee Information

The ACA Employee Information (BN27.2) can be used to override the values shown on ACA Report Entity IRS Codes (BN99.1) for reporting on Part II Line 14, Line 15 or Line 16 in the BN297 output CSV file for 1095-C forms and overriding Covered Individuals.

Note: Some 1095 data (not available to override on BN27.2) would need to be corrected at the originating record in Employee (HR11), Dependent (HR13) and/or Benefit Enrollment (BN31/32) before year-end processing. For example; BN990 references the SSN from HR11 and stores it in year-end processing tables (BNACAIRS) for reference by BN297/BN299. To correct the SSN, first make the change on HR11, then rerun BN990 before BN297/BN299.

  1. Access ACA Employee Information (BN27.2).
  2. Specify this information:
    Company

    Select a company number.

    Report Entity

    Select the process level that relates to either the Head Process Level Payroll structure (PR09) or ACA Year-End ALE Member (BN00.7) benefit structure, if applicable.

    Year

    Select the calendar year to process.

    Employee

    Specify the employee number.

    Topic

    Select a topic.

    • E2 Employee Info 1095 Line 14

      Override by month the Offer Code values shown on BN99. Valid values are Month All, Months Jan – Dec, Full Topic E2 Override.

    • E3 Employee Info 1095 Line 15

      Override by month the Employee Cost amount shows on BN99. Valid values are Month All, Months Jan – Dec, Full Topic E3 Override.

    • E4 Employee Info 1095 Line 16

      Override by month the Safe Harbor Code values shown on BN99 · Month All · Months Jan – Dec · Full Topic E4 Override

    • F1 – F9 and G1 – G9 Dependent Records 1 – 18

      Override the reporting of Covered Individuals.

      Note: Using this will override all Covered Individuals created by BN990/BN991. If one override is required, then all Covered Individuals must be created using Topics F1-F9/G1-G9.

      A Data Item for Full Topic Override exists for BN27.1 Topic R4 and BN27.2 Topics E2 (Line 14 Offer Code), E3 (Line 15 Employee Cost), and E4 (Line 16 Safe Harbor Code). The Value in the BN27.1/BN27.2 Full Topic Override controls the behavior of BN27.2 Data Items for Jan-Dec and All that have NOT been overridden. The BN27.1 Value controls the behavior at the RE level and is the recommended set up to have consistent functionality by RE. If set to E, then the PR27.2 Full Topic Override behavior can be identified by employee.

  3. If BN27.1 Full Topic Override is blank or Yes, then values must be specified on BN27.2 for all months (Jan-Dec or All) because all BN99 data for Line 14, 15, and 16 is overridden. A BN27.2 Data Item Value this is blank is an override and reports as blank or zero. This is the functionality of the programs before adding the Full Topic Overrides.
    1. Example: BN990 is run and updates BN99 Offer Codes for Jan – Dec as 1H. Full Topic E2 Override is blank or set to "Y". BN27.2 override for Jan is set to 1A. BN297/BN299 will pick up the BN27.2 override to report Offer Code 1A for January and blank for Feb - Dec.
  4. BN27.1 Full Topic Override is No, then only the values to be overridden are specified on BN27.2 because BN99 data for Line 14, 15, and 16 are referenced. A blank BN27.2 Data Item Value left is not an override and will default from BN99. To use BN27.2 to remove a Line 14 or 16 Code or Line 15 Cost, for Topics E2 Line 14 and E4 Line 16 specify an asterisks and for Topic E3 Line 15 specify a zero.
    1. Example: BN990 is run and updates BN99 Offer Codes for Jan-Dec as 1H. Full Topic E2 Override set to No. BN27.2 override for Jan is set to 1A. An asterisk is required in the All month box to clear the 1H from All. BN297/BN299 picks up the BN27.2 overrides to report an Offer Code of blank in the All box, 1A for January and 1H for Feb-Dec.
  5. BN27.1 Full Topic Override value on BN27.1 is E-Employee (BN27.2), then the behavior of the topic is controlled by the Full Topic Override Data Item Value in the employee’s BN27.2 Full Topic Override.
    1. If the value in the Full Topic Override in BN27.2 is Yes, see step 3.
    2. If the value in the Full Topic Override in BN27.2 is No, see step 2.
