Defining a total name

Use this procedure to define a total name for use in a compute statement or ratio. A total name is a user-defined name that identifies any combination of accounting unit, account, or subaccount balances for a company, company group, level group, accounting unit list, or total range as if they were one amount. You can use total names for calculations in the Report Writer, Allocations, Budgeting, Ratio Analysis, Project Accounting, and Lease Management applications. Use this procedure to define total names.

  1. Access Total Names (RW70.1).
    Note: When you define a total name, you do not need to create a new total name for each fiscal year. Report Writer stores totals by fiscal year. When you use a total name in a new fiscal year, the application automatically creates the total name for that new year and generates a new balance.
  2. Define basic total name parameters. Use these guidelines to specify the field values:
    Year

    Select the fiscal year in which you want to define the total name.

    Total Name

    Specift a name that identifies the total name and specify a description of the total name.

    Folder

    Select the folder in which you want to store the total name.

    Type

    Select the type of balances that are used to accumulate the total. You can select Amounts, Units, Currency, Budget Amounts, Budget Units, or Reporting Currency.

    Currency

    Select a currency code that you want to use to calculate the total name. The currency code must exist on Currency Code (CU01.1).

    Budget

    If you are calculating a total of budget information, then you must select the budget number.

    Ledger

    If you are defining this total name for a ledger, then you must select the name of the Multi-Book ledger in this field. The ledger is defined on Ledger Setup (ML10.1) and must be valid for any company that you select for the total name.

    When Report Writer prints a ledger report, it pulls its Multi-Book Ledger data from the ledger company report period. If applicable, it also pulls General Ledger data from the General Ledger company period and includes both sets of data on the report.

  3. Select the Single Ranges tab to define a total name that includes a company and up to four summary or posting accounting units, a company group, an accounting unit list, a level group, an account group, subaccount ranges, or a subaccount group.

    Another option is to select the Multiple Ranges tab to select a total range defined on Total Range (RW60.1).

  4. On the Main tab, you can click Calculate to open Total Value (RW70.2). Use this form to calculate and inquire on total name values for each period and year and review them for accuracy.
