P-Card program and administrator
A program is the credit card service offered by the bank, such as Visa, American Express, or US Bank. You designate someone at your company to be the administrator for each program. The P-Card administrator does several tasks. These include setting up the programs used by your company, and handling requests for P-Cards from users. Administrators can approve, cancel, or reject a card request. When the credit card is sent from the bank, the administrator assigns the card number, expiration date, and effective date and activates the P-Card. The administrator can also set a maximum amount per charge that is allowed on the card, along with other restrictions.
The administrator also decides whether the P-Card is to be used by more than one person (single or group type of P-Card).
When setting up a program, the administrator:
-
Assigns a procurement group
-
Assigns and maintains Card User IDs (in PD00.1). User IDs are required for Administrators, Proxies, and Card Users.
-
Enters the date that the program becomes effective
-
Assigns an Accounts Payable company to each program
-
Selects an Accounts Payable vendor representing the bank (or other financial institution)
-
Decides whether reason codes are required for bank charges that are disputed
-
Indicates whether bank charges are to be automatically approved (or closed upon approval)
-
Determines whether to add merchant names into the application automatically upon import of charges
Administrators must create at least one P-Card program within Lawson and assign an Accounts Payable company to it, before users can request a P-Card for that program. Programs cannot be deleted if a card request exists, or if open charges exist for the program.
