Importing P-Card charges

Both ad hoc and PO-based charges can be downloaded from the bank's website into a CSV file by running P-Card Charge Import (PD570). However, the charges that contain a purchase order number are ignored when running P-Card Invoice and Release (PD130) when it comes to creating an invoice and invoice distributions. For information on the CSV file layout, see the Purchase Order File Layouts. PD570 also has a database processing option and a charge import maintenance program (PD57). Use PD57.2 to add and maintain distributions. Use PD57.3 to review errors encountered during the PD570 import process.

During program setup, you had the option to add merchant names automatically into the application when PD570 was run. If you selected No, you add merchant names manually using P-Card Merchant (PD04.1). If you selected Yes, the merchant name is added when PD570 is run; if 1099 reporting is needed, the administrator adds the tax ID and income code for the merchant using P-Card Merchant (PD04.1).

To import charges

  1. Access P-Card Charge Import (PD570).
  2. Use the following guidelines to enter field values.
    Filename

    Specify the name of the file you are to import from the bank's website. The CSV file is located under:

    • $LAWDIR/ productline /work/PD570CSV (for UNIX)

    • %LAWDIR%\ productline \work\PD570CSV (for Windows)

    • LAWDIR/ productline /work/PD570CSV (for IBM i)

    Update Option

    Select whether to run the report in Report Only or Update mode.

    Note: Lawson recommends running the report in Report Only mode first, so errors can be identified and corrected and then the program can be rerun in Update mode.
