Creating distributions for vendor agreement lines

This procedure describes how to create multiple distributions for vendor agreement lines.

To create distributions for vendor agreement lines

  1. Access Vendor Agreement Line Distributions (PO26.2)
  2. Enter header information. Use the following guidelines to enter field values.
    Procurement Group

    Type or select the identifier for a group of companies that share a common procurement effort. They buy items and services together.

    Vendor Agreement Reference

    Enter the vendor agreement you want to create distributions for.

    Line Number

    Type the line number.

    Company

    Type or select the company to be used along with distribution code to look up the distribution code records. The company does not need to be a vendor agreement participant or to be the only participant company.

    Distribution Code

    Type a user-defined code used to automatically create expense distributions or expense distribution "shells" for invoices or to split an invoice distribution into multiple distributions.

  3. Select a line action. You can add, change, or delete a line.
    Note: Selecting Change as the line action affects commitments differently, depending on whether the agreement has been released or not.

    If the agreement has not been released, no commitments are built. If the agreement has been released, commitment amounts are calculated from the remaining agreement line amount multiplied by the percentage of this distribution record.

  4. Select an accounting unit, account, sub-account, and company.
  5. Type the distribution percent. The distribution percent is the percentage of the line lifetime maximum amount that is distributed to the accounting unit or account.
  6. In the Distribution Detail, select an activity and billing category for the line items.
  7. Select Change as the form action.
